Job Description

Job Title: Accounts ExecutiveDepartment: Finance & Accounts

Reports To: Accounts Manager / Finance Head

Location: Ahmedabad, Gujarat

Job PurposeThe Accounts Executive will be responsible for managing the end-to-end sales billing process, ensuring timely collections, and accurately tracking daily machine attendance/utilization data for billing and costing purposes. This role requires strong numerical accuracy, proficiency in accounting software, and excellent communication skills to coordinate with operations and clients.

  • Key Responsibilities1. Sales Billing & InvoicingGenerate accurate tax invoices, debit notes, and credit notes in compliance with GST and company policies.
  • Verify billing data against work orders, contracts, and daily operational logs before dispatching invoices to clients.
  • Maintain an organized and error-free digital and physical archive of all sales invoices and supporting documents.
  • 2. Collection & Receivables ManagementMonitor outstanding client balances and proactively follow up on overdue payments via phone, email, and formal reminders.
  • Reconcile client ledgers regularly and resolve any billing discrepancies or payment disputes efficiently.
  • Track and record daily inward payments (NEFT, RTGS, Cheques) and update the accounts receivable ledger.
  • Prepare weekly and monthly aging reports highlighting overdue accounts for management review.
  • 3. Daily Machine Attendance & Data ManagementCollect, verify, and log daily machine attendance, run hours, and breakdown data from site supervisors or biometric logs.
  • Cross-reference machine utilization hours with client billing terms to ensure accurate variable/hourly invoicing.
  • Track operator attendance tied to specific machines for payroll alignment and internal costing.
  • 4. Accounting Software & ComplianceMaintain clean data entry and up-to-date ledger accounts in Tally / company HRIS/ERP systems.
  • Assist the senior accounts team in preparing data for monthly GST returns (GSTR-1 and GSTR-3B) related to sales.
  • Coordinate with the audit team by providing necessary vouchers, invoices, and collection receipts.
  • Key Performance Indicators (KPIs)Billing Accuracy: Maintaining zero or minimal errors in generated sales invoices.
  • Collection Efficiency: Reducing the Days Sales Outstanding (DSO) and meeting monthly collection targets.
  • Data Timeliness: Ensuring machine attendance data is logged daily without backlog delays.
  • Reconciliation: Timely clearing of client ledgers with zero unallocated balances.
  • Qualifications & Skills RequiredEducation: Bachelor of Commerce (B.Com), M.Com, or equivalent accounting degree.
  • Experience: 2–4 years of proven experience in accounts receivable, sales billing, or commercial operations.
  • Technical Skills: * Proficiency in Tally ERP 9 / TallyPrime and advanced MS Excel (VLOOKUP, Pivot Tables, Formulas).

  • Familiarity with billing workflows, GST regulations, and basic commercial terms.
  • Soft Skills: * Strong negotiation and follow-up skills for handling collections.

  • High attention to detail for managing complex data like machine hours.
  • Good written and verbal communication skills.
