Job Description

Job Summary

The Payroll Executive is responsible for managing and processing payroll for all dealership employees, ensuring accurate salary calculations, statutory compliance, attendance reconciliation, incentives, commissions, deductions, and timely salary disbursement. The role requires coordination with HR, Accounts, and department heads to maintain payroll accuracy and compliance with labor laws.

Key Responsibilities

Payroll Processing

  • Prepare and process monthly payroll for all dealership employees.
  • Verify attendance, leave records, overtime, incentives, commissions, and deductions.
  • Ensure timely salary disbursement through bank transfers.
  • Maintain payroll records and employee salary data.

Attendance & Leave Management

  • Reconcile attendance data from biometric or attendance management systems.
  • Track employee leave balances and ensure accurate payroll adjustments.
  • Coordinate with department managers regarding attendance discrepancies.

Incentives & Commission Management

  • Calculate sales incentives and commissions for sales executives, service advisors, and other eligible employees.
  • Validate incentive data with department heads before payroll processing.
  • Ensure accuracy in performance-based payments.

Statutory Compliance

  • Process and maintain compliance with PF, ESI, Professional Tax, TDS, and other statutory requirements.
  • Prepare and submit required statutory returns within deadlines.
  • Maintain employee records for audits and inspections.

Employee Support

  • Address employee payroll-related queries and concerns.
  • Provide salary slips, tax documents, and payroll reports as required.
  • Assist employees with payroll-related documentation.

Reporting & Documentation

  • Generate payroll reports, salary registers, and management MIS reports.
  • Maintain confidentiality of employee compensation information.
  • Support internal and external audits related to payroll.

Qualifications

  • Bachelor's Degree in Commerce, Accounting, Finance, Business Administration, or a related field.
  • Certification in Payroll Management or HR Payroll Systems is preferred.

Experience

  • 2–5 years of payroll processing experience, preferably in an automobile dealership or similar multi-location organization.
  • Experience handling payroll software and HRMS systems.

Required Skills

  • Strong knowledge of payroll processing and statutory compliance.
  • Familiarity with PF, ESI, TDS, labor laws, and payroll regulations.
  • Proficiency in MS Excel and payroll software.
  • Strong numerical, analytical, and problem-solving skills.
  • Excellent attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality and meet deadlines.

Preferred Experience

  • Experience in automotive dealerships.
  • Knowledge of sales incentive and commission calculations.
  • Familiarity with HRMS, ERP, or dealership management systems.
