Job Description

The admin manager to manage the entire facilities services & administration activities such as:- 1. Housekeeping Management: Daily walkthroughs on the areas assigned to the cleaning staff to ensure the facility is kept clean & tidy at any given point of time. Deployment of the house keeping manpower as per agreement, assigning the tasks, monitoring their performance, briefing the team on do’s & don’ts. Counter signing the checklist & comments in case of abnormality. Approving the monthly attendance by scrutiny. 2. Security Management: Manage the security team by ensuring the manpower is deployed as per agreed at the designated posts. Oversee the security operations by inspecting the guards are alert at any given point of time, monitoring the performance & to check if the team is following the SOW provided by the management. Landscaping & Garden Management: Oversee the performance of the garden maintenance, explain the SOW to the gardener, ensure that the trimming, replacing of dead plant / mat grass, entire external area dry leaf cleaning is maintained at any given point of time. Approving the monthly attendance by scrutiny. 4. Vendor Management: Manage the service & supply vendors by giving them the timelines to agree & deliver the services / supply as per the timelines. Select the appropriate vendor as per the scope of work & ensure that the vendor is capable enough to deliver the service / supply as per expectations. 5. Valet Parking: Incase of any customers escalation for parking. Ensure the valet driver parks the customer vehicle at the designated parking place & coordinates with the security team to gets the vehicle back to the customer accordingly. 6. Infrastructure & R&M: Take a walkthrough & inspect in case of any infrastructure maintenance or repair is required & select the appropriate vendor to carry out the activity with quality of work, like wise manage the furniture’s, light fixtures, frames to be managed accordingly. 7. HVAC / Electrical: Ensure that all the AC’s, UPS, Server, Electronic appliances have proper AMC with authorized vendors & track all the periodic servicing & ensure no downtime. Inform the AMC vendors in case of any malfunctioning & ensure they attend the issue within the agreed SLA. Inform the client on the issue & issue resolution on a real time basis. 8. Inventory Management: Manage & control the housekeeping consumables, toiletries & stationery items. Prepare monthly consumption report by tracking the usage on a daily basis. Reorder the stock as per the consumption by obtaining approval from the line manager. 9. Procurement & Payment: Procure items as per the client requirement by obtaining approval from the line manager. Obtain quotations from multiple vendors in case of any high amount invested for any kind of items to purchase or rent. Follow up with the invoices with the vendors to submit within the stipulated timelines & ensure that the payment is made to the vendors accordingly. 10. Compliance: Manage building related fire compliance in line with A1 vendor to ensure that the facility is complaint with Fire Norms. Also ensure the staff undertakes fire training with government professional training academy as per the establishment standards. Also maintain statutory documents from the service vendors. 11. Events: Plan & brief the security, housekeeping & electrician team on the event arrangements. Oversee the logistics are properly arranged, power connections are coordinated, manpower is briefed on do’s & don’ts for the events team. Ensure no damages to the property & wirings to be covered appropriately to avoid trip hazard. Ensure to handle the event without any hindrances. 12. VVIP Visits: Ensure to arrange VVIP cutleries, coffee, soft drinks, conference room. Ensure the store is spik & spine. Inspect the areas & Initiate painting & polishing if required internal & external. Ensure that the “U” tables & watch tables are polished with 3M polish. High level dusting to be carried out. Ensure room fresheners are sprayed in all the areas. Check for Samsung Externals Logo’s incase of any damages or cleaning required, raise ticket & follow up until completion. Initiate stage polishing if required. Ensure there are no lines, blocks on the internal big LED screen & external LED screen. Fill in the IOT fridge with required items. Call the Chef on the day of visit & confirm with client on the items to be prepared. Traditional cap & shawl to be kept ready for the foreign visitors. No Vendor works to be carried out on the particular day. 13. Briefings: Regular briefings to the housekeeping team, Electricians team & Security team to be carried out on do’s & don’ts, lesson learnt, escalations, cleaning, safety, mishaps, events etc. Over all the Admin Manager to Oversee the Facilities Operations, with zero down time of equipment’s & facilities upkeep as per the client expectations.
