*Office Coordinator (with MS Office proficiency & Fluent English)* Our growing manufacturing & Import & Export business is looking for an Office Coordinator who can help us create a more productive work environment, while ensuring that our clients get the support they need. The ideal candidate for this position is an organized, detail-oriented individual who is able to manage multiple projects at once in a fast-paced environment. If you are a deadline-driven professional with a strong work ethic and a background in office administration, we want to hear from you. • Answer incoming calls in a friendly, professional, compassionate, empathetic and knowledgeable manner • Perform receptionist duties: greet visitors, and answer and direct phone calls • Manages documentation • Responsible for incoming and outgoing mail • Sets up personnel files and confirms that data remains accurate • Communicates with staff for the purpose of ordering office supplies and planning of meeting rooms • Caters to customer complaints in a timely and efficient manner • Manages correspondence with service vendors • Orders and maintains office supplies • Organises staff meetings and executive schedules • Processes paperwork for customers and employees • Keeps office clean and organised to promote an efficient working environment • May participate in billing and accounting duties, including resolving billing questions and managing invoices • Able to work with minimal supervision • Demonstrate initiative, good judgement, discretion, enthusiasm and desire to expand and build on a great business. • Oversee and support all administrative duties in the office and ensure that office is operating smoothly • Follow up and communicate issues with a sense of ownership and urgency to ensure problems are resolved. • Able to function well under pressure, make decisions quickly and manage confidential information. • Strong organizational and time management skills, and ability to prioritize • Proficient with MS Office • Exceptional communication skills, both written and verbal Excellent customer service, communication, and problem-solving skills. • Must have a strong desire to assume the responsibilities of the job including understanding that problems/challenges are to be expected and are a normal part of the job on a daily basis.
