Primary Tasks & Activities Ensuring timely delivery of materials/samples to customers in accordance with Sales Orders. 1. Monitor Daily Dispatches, Dispatch Schedules, Pending Orders & Sample requests and work with the CRM team to ensure adherence to planned schedules as well as regular communication of order status to Customers.. 2. Attend Customer Calls & mails pertaining to new orders, sample requests, enquiries and complaints etc.. 3. Forward Customer Orders & Sample Requests received directly to CRM Executive for processing. Ensure timely and accurate completion of all documentation by Self & Team to enable timely shipments. 1.Ensure compliances with applicable laws to enable timely dispatch of goods. 2.Check export documentation and ensure it is correct Ensuring timely and satisfactory resolution of Customer Queries & complaints. 1.Monitor Customer interactions by CRM Team 2.To ensure timely response to Customer Queries and resolution of Customer Complaints. Ensuring timely communication of Order / Sample Status to Customers by Self & Team. 1.Coordinate with other departments to decide planned Shipment Dates in cases where the ordered material is out of stock. Ensure customers are kept informed of the same by CRM team or self in case of direct orders. Ensuring accurate & timely invoicing and collection of outstandings from Customers. 1. Review invoices prepared by CRM Team to ensure accuracy. 2. Ensure Timely preparation of invoices to facilitate on time dispatch. 3. Monitor Account Receivables and ensure the CRM team is following up regularly to collect outstandings. 4. Create and maintain Account Receivables Sheet. 5. Monitor outstanding to ensure it is within specified limits. 6. Sharing Account Receivable report with the management on a daily/weekly/monthly basis. Customer Order Pattern Tracking & Reporting Order Missed cases 1.Tracking Customer Order Pattern, 2.Ensure timely & accurate updation of stocks in IMS - Materials, Samples and Packing Material. 3.Identify forwarders for shipment of Customer Orders and recommend suitable parties to CEO for finalization. 4.Coordinate with Forwarders for export. Leading Effectively 1.Ensuring availability of adequate and capable team members to fulfil assigned responsibilities. 2.Providing appropriate supervision and coaching to enable team members to perform effectively. 3.Anticipating & promptly resolving issues & concerns of team members. 4.Creating a climate of trust & belonging among team members 5.Motivating Team Members to achieve / surpass assigned goals. MIS Adherence 1.Updating own data in MIS in a timely manner. 2.Ensuring team members are updating their MIS data in a timely manner. A. Qualifications & Experience: Graduate with 4-7 years of experience in Logistics. B Com / BBA would be preferred. Post Graduate degree or diploma in Sales & Marketing / Materials / Supply Chain / Export-Import Management will be an advantage. Must have at least 2 years of experience in leading people. B. Skills & Knowledge: Functional Skills Must be proficient in managing Customer Relationships Must be well versed with Logistics or Export/Import documentation. Familiarity with Invoicing & Collection will be an advantage. Computer Skills Must be proficient in MS Excel, MS Word, and eMail (Office or Gmail). Ability to work on Tally would be preferred.
