Job Description

Job Title Sales Coordinator Manager C. Primary Tasks & Activities: 1. Lead Management ● Follow up on leads sent to the Sales Team by Sales Co-ordinators. ● Ensuring none of the leads are missed. ● Monitoring status of leads in the system. Follow up with Sales Person for leads that are not attended ● Ensuring all the leads are updated in the system by the Sales Team. ● Ensure Sales Co-ordinators are maintaining records of Customer enquiries related to new flyers. 2. Sample Management ● Monitoring status of samples & related documents sent to Customer timely by Administration Executive & Sales co-ordinators. ● Updating tracker to record the sample dispatch status and co-ordinating with Administration Executive & Sales co-ordinators to ensure all required documents / samples are sent without any error. ● Ensuring Sales Coordinators calls Customers to obtain feedback after dispatch of samples. ● Ensure Sales coordinators inform concerned Sales Person of the Customer Feedback regarding samples. ● Ensure Sales coordinator updates Sample Dashboard in a timely manner. 3. Analysis & Reporting ● Preparing Quarterly Customer Credit Quality report based on inputs from the CRM Team without any delays. ● Compiling Daily Sales Scoreboard based on Invoice details from Accounts. ● Preparing Monthly Sales Analysis – Calls made with reason for calls. ● Preparing Sample Conversion Analysis – Orders received vs samples submitted. ● Preparing a pending Payment report for a fortnightly meeting. 4. DSR Report submission to Management ● To ensure the DSR Report is maintained on a daily basis. ● Ensuring Team is adding data in the DSR Report on a timely basis and error free. 5. Data Management ● To ensure error free preparing & revising MSDS / Technical Data Sheet for TA & GP. ● To ensure error free Preparing & updating Customer Price List for TA & GP. ● Ensuring Sales Co-ordinators forwarding MSDS / Technical Data Sheet for PC, TA & GP to Customers. ● Ensuring Sales Co-ordinators update Customer Master regularly to maintain KYC data, changes to Customer Data, Color coding of customers etc. 6. Sales Support ● Preparing the Sales Head’s presentations for Sales Meetings. ● Providing Sales Co-ordination support to Sales Head: o Preparing & sending Minutes of meeting to Customers timely. o Sending mails to Customers with adequate information. 7. Customer Relations ● Ensuring Sales Co-ordinators send mails to customers on personal events (Birthday, Anniversary etc) 8. Leading Effectively ● Initiating hiring of suitable candidates for vacant positions as per hiring plan. ● Ensure replacement of existing team members within 15-30 days of resignation. ● Ensuring all Team Members, especially new joinees, receive adequate Training to perform their job effectively. ● Establishing Targets & Standard Operating Procedures / Processes for Team Members and guiding them in achieving their assigned targets as per established processes & guidelines. ● Resolving Team members’ issues, concerns & challenges in achieving target performance. ● Resolving personal grievances of Team members. 9. Other tasks ● Ensuring Sales Co-ordinators send mails to customers on personal events (Birthday, Anniversary etc). ● Updating own data in MIS in a timely manner. ● Ensuring team members are updating their MIS data in a timely manner.   A. Qualifications & Experience: ● Graduation ● 4-6 years of experience in Sales Co-ordination / Telemarketing. ● Experience of working in the Chemical / Speciality Chemicals industry will be an advantage. ● 2-4 years of experience in leading a team. B. Skills & Knowledge: 1. Functional Skills ● Customer Relationship Management ● Analysis & Reporting 2. Computer Skills ● Email ● Proficiency in Excel ● Word, Powerpoint, Google sheet
