Position: Secretary to the CEO

Location: Mumbai, India

Job Summary:

The Secretary to the CEO will provide high-level administrative support to the CEO, ensuring the smooth operation of the CEO’s office. This role requires a highly organized, proactive, and detail-oriented individual with excellent communication skills and the ability to handle sensitive information with discretion.


Key Responsibilities:


Administrative Support:

Manage the CEO’s calendar, schedule meetings, and coordinate appointments.

Prepare and edit correspondence, reports, and presentations.

Handle travel arrangements, including flights, accommodation, and itineraries.

Organize and maintain files and records, ensuring confidentiality.


Communication:

Serve as the primary point of contact between the CEO and internal/external stakeholders.

Screen and direct phone calls and emails to the appropriate parties.

Draft, review, and send communications on behalf of the CEO.


Meeting Coordination:

Organize and prepare for meetings, including gathering documents and attending to logistics.

Take detailed minutes during meetings and distribute them to relevant parties.

Follow up on action items and ensure timely completion.


Event Planning:

Assist in organizing company events, conferences, and executive retreats.

Manage logistics for events, including venue selection, catering, and travel arrangements.
