Job Description: Virtual Receptionist
Position Overview: We are seeking a highly organized and professional Virtual Receptionist to manage guest interactions, handle internal communication with employees, and ensure smooth operations in booking and payment processes. The ideal candidate will provide exceptional customer service while efficiently managing reservations, guest inquiries, and internal coordination.
Key Responsibilities:
- Guest Communication:
- Answer and respond to guest inquiries via phone, email, and online platforms.
- Provide accurate information about services, availability, and pricing.
- Assist guests with booking reservations, ensuring availability aligns with staff schedules.
- Internal Communication:
- Coordinate with employees regarding scheduling, service changes, and other operational updates.
- Relay guest-specific information to staff as needed, ensuring smooth service delivery.
- Reservation Management:
- Schedule appointments based on staff availability and guest preferences.
- Update and maintain reservation systems with accurate and timely information.
- Manage last-minute changes, cancellations, and re-bookings.
- Payment Processing:
- Take payments over the phone or via online systems securely.
- Provide payment receipts and confirmations to guests.
- Address any payment-related issues or inquiries.
- Administrative Support:
- Maintain accurate records of guest information, appointments, and payments.
- Assist in handling guest feedback or complaints and escalate as necessary.
- Collaborate with management to ensure operational processes are smooth and efficient.
Qualifications:
- Previous experience in a virtual receptionist or customer service role.
- Strong verbal and written communication skills.
- Proficient in using reservation and payment systems (training provided if necessary).
- Ability to multitask and manage time efficiently.
- High attention to detail and problem-solving skills.
- Friendly, professional demeanor with a focus on customer satisfaction.
- Proficiency in English to effectively communicate with guests in the United States.
- Availability to work between 8 AM and 8 PM HST.
- A laptop with a reliable internet connection is required.
