Pre Sales Receiving inquiry by the visit of marketing personnel, online tender/inquiry from trade portals, and direct inquiries (Verbal, email, fax) Maintaining customer inquiry register and generate offers as directed by Manager Sending regret letters/emails in case the enquired item is beyond product range in consultation with the manager Periodic review of pending customer Request for Quotation(RFQ's) along with Manager/HOD Sending inquiries to suppliers for bought-out items. Preparations of tenders/quotations including costing in the consultation with Manager Choose the appropriate courier for sending documents Sending quotations to the customer/tenders and receive the acknowledgment for the same Sending letters to the customer for technical/commercial queries in all stages of negotiation Weekly quotation follow-up with the designated personnel and preparation of the report Other responsibility Maintaining all records as per ISO and OHSAS standard requirement Coordination with Accounts department for getting Earnest Money Deposits(EMD), Performance Bank Guarantee(PBG), etc. Storage of all documents/correspondence in soft and hard copy Updating of attendance records for all employees of the departments Post Sales Verification of order with quotation/offer and report to Manager for clarification/confirmation. Letter to the customer for amendment in case of any discrepancies. Preparation of Work order in SAP and Excel and getting it approved from manager Approval of work order with acknowledgment from the engineering department. Letter of order acceptance to the customer Issue of work order to production, Purchase and stores and seek an acknowledgment Document(Technical/Commercial) approval from the customer if required Review and Send Performa invoice to the customer. Receiving offers from shipping agencies(for exports) and transporter(local) Issuing Dispatch clearance notes to stores for dispatch.
