Full Job Description *Administrative* Maintaining List of Members with their Contact details for Society Records. Handling all Correspondences with members / outside agencies. Drafting of Circulars, Notices, NOCs. Drafting of letters to external agencies. To maintain Daily Attendance Register and Regular Monitoring of of other staff. Ensure cleanliness in the premises To attend the complaints received from the members on various matters. Maintaining office, stationary. *Accounts* Issue of Maintenance Bills and Distribute to its members Following up of Collection of maintenance and its recording Deposit the Collection into Society Bank Account Preparing of Outstanding statement Issuing of notices to defaulters Preparation of cheques or NEFTs for making payments to vendors, staff salaries etc. Voucher preparation for Payments made Keeping Records (vouchers / approved original invoices) of Payments to Vendors, service providers etc Updating the Accountant with bills for payment and Records for entry on monthly basis Bank reconciliation Co-ordinating with bank Liasioning with the accountant and Auditor *MC Meetings / AGM / SGM* Prepare Notices/ Agenga for Managing Committee Meetings and AGM Keep ready all the files and documents required for the meeting. Writing of meeting minutes and circulate the draft. Maintaining Files and records. Maintenance of individual file of Member To maintain all the Records of the Society as per Bye-Laws, Society’s Rules and Regulations and also to maintain all 16 type of statutory registers such as Share Transfer Register, “I” Register, “J’ Register, Nomination Register, Sinking Fund Register, Property register, Fixed Assets Register etc.. Filing records of Society like Sale agreements and Leave and License agreements of its Members from date of inception. Record Keeping all other documents To attend to the various applications of members Issue of NOCs for passport / ration card / Aadhar Card etc. *Verification of Contents* Resale of Flats and Share Transfers Issue of NOCs Bank Lien applications Verification of Documents and other verification points Leave and License Applications Issuance of NOC Record keeping of L&L Agreement *Other* Computer literate with knowledge of internet and Microsoft office Good at communications – both oral and written. Should be good at co-ordination, interaction with the members Should have an exposure in Compliance and Property management in Housing Society. Job Types: Full-time
