Job Description

Overview Job Title: Operations Manager

Department: Operations

Reporting To: Owner

Purpose: The Operations Manager is responsible for overseeing the end-to-end supply chain and operational processes, ensuring that incoming and outgoing goods are handled efficiently and with the highest quality standards. This role encompasses materials tracking, quality inspection, coordination with suppliers and transporters, and direct field execution to guarantee on-time dispatch and delivery.

Core Responsibilities:

Inventory & Materials Management

• • Track receipt of raw materials and packaging from suppliers.

• • Maintain inventory records and ensure stock levels align with production and dispatch needs.


Supplier & Logistics Coordination

• • Liaise with distributors, manufacturers, and transporters for sourcing and movement of goods.

• • Schedule and monitor shipments, ensuring adherence to delivery schedules and service-level agreements (SLAs).


Quality Assurance & Inspection

• • Conduct physical inspections of products at the manufacturer’s site for conformity to quality and packaging standards.

• • Enforce company SOPs for quality control throughout the supply chain.


Order Fulfillment & Dispatch Management

• • Oversee order processing from warehouse picking to loading for transport.

• • Confirm receipt of goods by transporters and end customers, resolving any delivery discrepancies.


Field Operations

• • Serve as the on-ground operations specialist, directly handling equipment logistics and field tasks as required.

• • Provide real-time updates to the Owner on operational issues, resource requirements, and process improvements.


Tasks & Activities Daily Operations

• • Work closely with the owner and manage the supply chain (transportation, oversee packaging and dispatch of the goods.)


Field Engagement

• • Visit manufacturing sites to oversee product packaging and quality checks.


Deliverables & Key Success Metrics

1. On-Time Delivery Rate: Percentage of orders dispatched and delivered within agreed timelines.

2. Error Rate: Volume of operational errors (e.g., mispicked orders, damaged goods) per reporting period.

3. Cost Control: Efficiency in managing logistics and operational expenses against budget.

4. Customer Satisfaction: Feedback score from customers regarding delivery accuracy, timeliness, and product condition.

5. SLA Adherence: Compliance with internal and external service-level agreements.


Required Competencies & Technical Skills

• Proficient in Microsoft Excel and general computer applications.

• Working knowledge of the e-Way bill system and basic inventory/ERP tools. Soft Skills

• Strong ownership and accountability for assigned tasks.

• Clear and effective communication, including reading and interpreting invoice details.

• Excellent multitasking and organizational capabilities.

• Leadership aptitude to coordinate field activities and enforce SOPs. Experience & Qualifications

• Experience: Minimum 2 years in operations, logistics, or supply-chain roles—preferably in a field-service or manufacturing environment.

• Education: Bachelor’s degree in Business, Supply Chain Management, Logistics, or a related discipline.
