Job Title: Front Office Executive

Job Overview:

We are seeking a and customer-focused Front Office Executive to join our team. As a Front Office Executive, you will be the first point of contact for visitors, clients, and employees, providing exceptional customer service and administrative support. This role requires a professional and friendly demeanor, excellent communication skills, and the ability to manage various tasks efficiently.

Responsibilities:

  1. Reception and Greeting:
  • Welcome and greet visitors with a positive and professional attitude.
  • Manage incoming calls and direct them to the appropriate person or department.
  • Maintain a clean and organized front desk area.
  1. Customer Service:
  • Assist clients and visitors with inquiries, providing accurate information and assistance.
  • Handle customer complaints and concerns in a diplomatic and efficient manner.
  • Ensure a high level of customer satisfaction through prompt and courteous service.
  1. Administrative Support:
  • Manage and coordinate appointments and meetings.
  • Handle incoming and outgoing mail, emails, and faxes.
  • Maintain office supplies and ensure necessary inventory levels.
  1. Communication:
  • Act as a liaison between clients, visitors, and internal teams.
  • Communicate important information to staff and clients effectively.
  • Assist in drafting and proofreading correspondence.
  1. Office Coordination:
  • Collaborate with other departments to facilitate seamless office operations.
  • Coordinate with maintenance and cleaning staff to ensure a well-maintained office environment.
  • Assist in organizing company events and meetings.
  1. Data Entry and Record Keeping:
  • Maintain accurate and up-to-date records of visitors and appointments.
  • Enter relevant information into databases and systems as required.
  • Ensure confidentiality and security of sensitive information.

Qualifications:

  • High school diploma or equivalent; additional certification in office management is a plus.
  • Proven experience in a similar role, demonstrating strong customer service skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Organized, detail-oriented, and able to multitask effectively.
  • Ability to handle stressful situations with composure.
