Export Operations & Supply Chain Manager


Job Duties & Responsibilities



1. Export Operations & Documentation

• Manage end-to-end export operations from order confirmation to final delivery.

• Prepare and control all export documents: Commercial Invoice, Packing List, BL/AWB, COO, Insurance, LC documents, Phytosanitary/Health Certificates.

• Ensure compliance with DGFT, Customs, GST, FEMA, and destination-country regulations.

• Coordinate with CHA, freight forwarders, shipping lines, and banks for smooth shipment execution.



2. Supply Chain Planning & Coordination

• Plan and control procurement, production, inventory, and dispatch as per export order schedules.

• Coordinate with vendors, factories, and internal departments to ensure on-time readiness of goods.

• Monitor stock levels to avoid shortages, excess inventory, or shipment delays.

• Implement demand planning and order forecasting for export markets.



3. Logistics & Transportation Management

• Plan container booking, stuffing, and transportation from factory/warehouse to port.

• Negotiate freight rates and service terms with logistics partners.

• Optimize shipping routes, lead time, and logistics costs.

• Monitor shipment tracking and handle exceptions like rollovers, port congestion, or delays.



4. Vendor, CHA & Partner Management

• Manage relationships with suppliers, transporters, CHA, inspection agencies, and shipping lines.

• Evaluate vendor performance on cost, delivery, and compliance.

• Coordinate third-party inspections, surveys, and certifications.



5. Quality Control & Regulatory Compliance

• Ensure products meet buyer specifications, labeling norms, packaging standards, and food safety regulations.

• Coordinate quality inspections, lab tests, and compliance documentation.

• Maintain audit-ready records for regulatory and customer inspections.



6. Export Incentives & Cost Control

• Handle export incentives such as RoDTEP, Duty Drawback, Advance Authorization.

• Track claims and ensure timely submission of incentive documentation.

• Control logistics and supply chain costs including freight, demurrage, detention, and warehousing.



7. Inventory & Warehouse Management

• Oversee warehouse operations including receiving, storage, picking, packing, and dispatch.

• Ensure FIFO/FEFO compliance (especially for food & FMCG products).

• Implement inventory accuracy checks and stock audits.



8. Customer & Stakeholder Coordination

• Communicate with international buyers regarding order status, shipment schedules, and documentation.

• Address customer queries, discrepancies, and post-shipment requirements.

• Collaborate with sales and finance teams for smooth order-to-cash cycles.



9. Team Leadership & MIS Reporting

• Lead export operations and supply chain teams.

• Develop SOPs and ensure process compliance.

• Prepare MIS reports: shipment status, inventory levels, cost analysis, pending orders, and KPIs.



10. Process Improvement & Digital Systems

• Improve supply chain efficiency through process automation and ERP systems (Tally, SAP, Oracle, Excel MIS).

• Identify bottlenecks and implement corrective actions.

• Support scalability for new markets and increased export volumes.
