Job Description
Export Sales Coordinator – Duties & Responsibilities
1. Order Processing & Documentation
• Receive, review, and process export sales orders.
• Prepare and manage export documentation such as invoices, packing lists, Certificates of Origin, and Bills of Lading.
• Ensure all documents comply with international trade regulations and customer requirements.
• Coordinate with freight forwarders, carriers, and customs brokers for timely shipment arrangements.
2. Logistics Coordination
• Schedule shipments, book cargo space, and track shipments until delivery.
• Ensure compliance with shipping instructions, Incoterms, and export regulations.
• Communicate with suppliers, warehouses, and logistics teams to ensure product availability and on-time dispatch.
3. Customer Communication & Support
• Serve as a primary point of contact for international customers.
• Provide pricing, product availability, shipment updates, and order status.
• Resolve customer complaints, delivery issues, and documentation errors promptly.
4. Sales Support
• Prepare quotations, proforma invoices, and sales proposals for export clients.
• Maintain and update customer records, sales reports, and databases.
• Coordinate with the sales team on new inquiries, tenders, and contract requirements.
5. Compliance & Quality Control
• Ensure compliance with export laws, customs regulations, and trade compliance rules (e.g., restricted party screening, embargo checks).
• Verify accuracy of product labeling, packaging, and shipping marks.
• Work with quality assurance teams to ensure shipment quality standards are met.
6. Financial Coordination
• Coordinate with finance for payment terms, letters of credit (LC), and credit approvals.
• Verify and submit required financial documents to banks for LC negotiation or collection.
• Follow up with customers for payments and resolve discrepancies.
7. Reporting & Administrative Tasks
• Maintain export records, shipment logs, and customer files.
• Prepare weekly/monthly sales and shipment reports.
• Monitor sales performance, forecasts, and inventory availability.
8. Cross-Department Collaboration
• Work closely with production, supply chain, warehousing, sales, and finance teams.
• Support internal teams with export-related guidance and documentation.
