Job Description

Your work liability includes; but not limited to:


1. Ticket Management

  • Log and Prioritize Support Requests:
  • Accurately register complaints, service requests, and inquiries in the helpdesk system.
  • Monitor and Resolve Tickets:
  • Track open tickets, follow up with stakeholders, and ensure timely resolution per SLA timelines.
  • Escalate Complex Issues:
  • Forward unresolved or urgent matters to concerned departments or senior staff for immediate action.
  • Maintain Communication:
  • Keep residents informed about ticket status, resolution timelines, and service schedules.
  • Collect Feedback:
  • Obtain post-resolution feedback from residents for quality control.


2. Administrative Tasks

  • Resident Database Management: Maintain updated records of resident contact information, ownership/tenancy status, and occupancy.
  • Daily Logs and Shift Reports: Maintain daily records of complaints, escalations, completed tasks, and staff handovers.
  • Resident Onboarding/Exit: Support resident move-in/move-out processes, including document verification, ID/access card issuance, and amenity orientation.
  • Notice & Communication: Prepare and distribute circulars, event notices, maintenance updates via email, app, or notice boards.
  • Document Management: Maintain files for complaints, society notices, resident communication, and vendor service logs.


3. Banking & Financial Tasks

  • Bank Visits: Deposit cheques, collect statements/passbooks, and manage minor banking errands.
  • Maintenance Charges Collection: Collect and issue receipts for maintenance payments through cash, cheque, or online channels.
  • Reconciliation & Dues Tracking: Reconcile collections with bank statements and maintain records of outstanding dues; follow up with residents.
  • Bill Collection: Collect payments for other services such as event hall bookings, penalty charges, or utility reimbursements.


4. Staff & Vendor Management

  • Staff Attendance Management: Record and maintain daily attendance of housekeeping, security, and technical staff. Share monthly attendance summaries with HR/accounting for payroll.
  • Vendor Coordination: Communicate with vendors for scheduled work, service updates, and complaints resolution.
  • Vendor Invoice Tracking: Maintain records of vendor bills/invoices and coordinate with the accounts team to ensure timely payment processing.
  • Payment Verification: Verify services delivered before approving vendor payment requests; coordinate with maintenance staff for validation.


5. Resident Support & Community Coordination

  • Front Desk Operations: Serve as the primary contact point at the reception/helpdesk for residents, visitors, and vendors.
  • Amenity Booking: Schedule and manage bookings for amenities such as party hall, gym, and guest rooms as per society rules.
  • Emergency Response Support: Provide immediate assistance and communication during incidents like power outages, water leakage, or security concerns.
  • Visitor and Access Control: Support security team in visitor management system operations and access card/ID issuance.


6. Compliance & Reporting

  • Service Reports: Prepare weekly/monthly reports on ticket resolution, vendor performance, staff attendance, and resident feedback.
  • Audit & Documentation Support: Organize and present records needed for society audits or committee reviews.
  • Policy Enforcement Assistance: Inform and remind residents of society rules, assist in implementing policy decisions made by the management committee.
