Job Description

The Back Office Executive plays a critical, non-client-facing role, ensuring the smooth and efficient internal operation of the company. The primary focus is on administrative support, precise data management, documentation control, and seamless coordination between various internal departments.

  • Key Responsibilities1. Data Management and Record KeepingPerform accurate and timely data entry into company databases, CRM, or ERP systems.
  • Maintain, update, and manage both physical and electronic filing systems and records, ensuring confidentiality and easy retrieval.
  • Verify the accuracy of data and documentation received from other departments (e.g., Sales, Finance) and resolve discrepancies quickly.
  • Generate regular and ad-hoc reports, statistics, and summaries using tools like MS Excel for management review.
  • 2. Administrative and Operational SupportProcess internal paperwork, invoices, purchase orders, receipts, and client contracts according to established procedures.
  • Assist in managing office supplies, inventory control, and coordinating with vendors for procurement.
  • Handle and direct incoming correspondence (emails, internal memos) and manage administrative communications.
  • Assist in HR-related tasks such as maintaining employee records, coordinating onboarding documents, or managing payroll data input.
  • 3. Internal Coordination and WorkflowAct as the central point of contact for administrative requests from the Front Office and other departments (Sales, Marketing, Accounts).
  • Coordinate internal project timelines and documentation, ensuring all necessary steps are executed by the back office.
  • Schedule and organize meetings, appointments, and travel arrangements for management and staff.
  • 4. Compliance and Process ImprovementEnsure strict compliance with company policies, data protection regulations, and operational standards.
  • Identify bottlenecks or inefficiencies in administrative processes and suggest improvements to enhance workflow and productivity.
