Job Description

Job Title: Executive Assistant to Managing Director (EA to MD)

Reports To: Managing Director


Job Summary:

The Executive Assistant to the Managing Director will provide comprehensive administrative

and strategic support to ensure the smooth functioning of the MD’s office. This role requires

a highly organized and proactive individual who can manage schedules, coordinate

meetings, handle confidential information, and act as a liaison between the MD and internal

as well as external stakeholders. The EA will play a key role in ensuring effective

communication, timely follow-ups, and efficient management of day-to-day executive

activities.


Key Responsibilities:

• Manage and maintain the Managing Director’s calendar, including scheduling

meetings, appointments, and travel arrangements.

• Coordinate internal and external meetings, prepare agendas, presentations, and

record minutes of meetings for follow-up actions.

• Handle correspondence, emails, calls, and documentation on behalf of the MD while

maintaining confidentiality and professionalism.

• Act as a point of contact between the MD and internal departments, clients, vendors,

and other stakeholders.

• Track and follow up on action points, tasks, and deadlines to ensure timely

completion.

• Prepare reports, presentations, and business documents for management meetings

and strategic discussions.

• Assist in organizing company events, executive meetings, and official visits.

• Maintain organized records, files, and documentation related to the MD’s office.

• Support the MD in daily operational and administrative activities to ensure efficient

workflow.


Qualifications:

• Bachelor’s degree in Business Administration, Management, or a related field.

Experience:

• 4–8 years of experience as an Executive Assistant, Personal Assistant, or similar role

supporting senior leadership.


Key Skills & Competencies:

• Excellent written and verbal communication skills

• Strong organizational and time-management abilities

• High level of discretion and ability to handle confidential information

• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)

• Ability to multitask and work under pressure in a fast-paced environment

• Strong coordination and stakeholder management skills
