Job Description – HR Manager / Executive Assistant to Directors

Position: HR Manager

Department: Human Resources & Administration

Key Responsibilities1. Recruitment & Hiring

  • Manage recruitment through job portals such as Apna, Naukri, Indeed, etc.
  • Screen resumes, shortlist candidates, and schedule interviews.
  • Coordinate interviews with management and department heads.
  • Maintain recruitment records and candidate database.

2. Employee Relations

  • Act as the primary contact point for employees regarding workplace issues, concerns, and support.
  • Maintain a positive and professional work environment.
  • Resolve employee grievances in coordination with management.

3. Payroll & Attendance Management

  • Prepare monthly salary calculations based on attendance records.
  • Calculate overtime as per company policy.
  • Maintain employee attendance, leave records, and payroll data.
  • Coordinate with accounts department for timely salary processing.

4. Director Coordination & Personal Assistant Role

  • Handle coordination between all Directors of the company.
  • Maintain a list of tasks assigned by Directors and track pending work.
  • Regularly follow up with concerned staff or departments to ensure timely completion.
  • Update Directors regarding pending tasks, progress, and completion status.
  • Assist Directors in scheduling meetings, internal coordination, and priority work management.

5. Employee Engagement Activities

  • Organize employee engagement activities such as:

  • Birthday celebrations
  • Festival celebrations
  • Recreation or team-building activities
  • Help maintain a positive workplace culture.

6. Office Administration

  • Manage administrative responsibilities including:

  • Calling and coordinating with vendors (plumber, electrician, printer/ink refill, internet service, etc.).
  • Ensuring proper functioning and maintenance of office facilities.
  • Handling basic office operational requirements.

7. SOP Implementation & Support Staff Management

  • Prepare and implement SOPs for peons and support staff.
  • Ensure proper cleanliness and maintenance of all office premises.
  • Assign and monitor daily tasks of peons and housekeeping staff.

8. HR Documentation & Compliance

  • Maintain employee files, HR records, and documentation.
  • Ensure adherence to company HR policies and procedures.
  • Assist management in implementing HR policies and administrative systems.
  • Required SkillsStrong communication and coordination skills
  • Ability to handle confidential management information
  • Experience in recruitment and HR operations
  • Administrative and vendor management skills
  • Strong follow-up and task management ability

Experience3–5 years experience in HR / Administration (Pharma industry preferred)
