Job Description: Admin Executive

Position: Admin Executive

Reports To: HR Manager

Industry: Financial Services (Equity, Mutual Funds, Loans)

Job Summary:

The Admin Executive will be responsible for handling day-to-day administrative operations to ensure smooth functioning of the office. This role involves coordinating with departments, maintaining records, managing office supplies, and providing support for organizational tasks. The Admin Executive plays a critical role in creating an efficient work environment and supporting the overall operations of the company.



Key Responsibilities:

Office Administration:

  1. Manage and maintain office supplies, equipment, and inventory.
  2. Oversee cleanliness and organization of the office environment.
  3. Coordinate with facility management and service providers for maintenance and repairs.

Documentation and Record Management:

  1. Maintain accurate records of office activities, correspondence, and documentation.
  2. Ensure proper filing and storage of company documents, both physical and digital.

Logistics and Coordination:

  1. Arrange travel, meetings, and accommodations for staff as required.
  2. Support the planning and execution of company events and activities.

Vendor and Procurement Management:

  1. Liaise with vendors for procurement of office supplies and services.
  2. Ensure timely renewal of contracts and service agreements.

Support Functions:

  1. Assist in onboarding new employees by setting up workstations and providing orientation materials.
  2. Act as the first point of contact for administrative queries and resolve issues efficiently.



 

Qualifications and Skills:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience: 2–4 years in administrative roles, preferably in the financial services sector.
  • Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and time management abilities.
  • Excellent communication and interpersonal skills.
  • Attention to detail and ability to handle confidential information.
