Job Description
Job Description: Executive Assistant (EA) to Managing Director
Company: Ksquare Energy Pvt. Ltd.
Location: Ahmedabad (Head Office)
Working Days: 6 days
Timings: 9:30 AM to 6:30 PM
Role Overview:
We are looking for a smart, and proactive Executive Assistant to support the Managing Director in daily operations, coordination, follow-ups, and cross-department activities. The EA will act as a key point of contact and ensure smooth communication and task execution across the organisation.
Key Responsibilities:
Manage the MD’s calendar, schedule meetings, appointments, and reminders.
Coordinate with internal departments and ensure timely follow-ups and task closures.
Prepare and organise reports, data sheets, presentations, and documentation.
Ensure work is completed by employees or relevant personnel on behalf of the MD.
Act as a primary point of contact for internal and external stakeholders.
Handle cross-departmental coordination and communication.
Maintain confidentiality, professionalism, and high responsiveness at all times.
Assist in planning and executing meetings, reviews, travel plans, and events.
Ensure MD’s daily workflow runs smoothly and efficiently.
Perform administrative and operational tasks assigned by the MD.
Support with travel arrangements, logistics, and follow-up tasks.
Required Skills & Qualities:
Excellent English communication skills (verbal & written).
Smart, presentable, and confident personality.
Strong follow-up ability and task management skills.
Good at coordination and cross-functional communication.
Proficient in MS Office (Excel, Word, PowerPoint) and scheduling tools.
Flexible, disciplined, and work-oriented mindset.
Ability to multitask and work under pressure.
Travel-friendly and flexible when required.
Preferred Candidate:
Fluent in English with a polished presentation and personality.
Someone who can work independently and take ownership.
