Designation: Receptionist

Work Timings: 10:30 AM to 7:30 PM

Weekly Off: 2nd & 4th Saturday (Subject to change based on work requirements)

Position Overview: We are looking for a proactive, well-spoken, and highly organised Receptionist to represent Collab Globus LLP as the first point of contact for clients, visitors, and internal teams. The ideal candidate should have strong communication skills, a pleasant personality, the ability to multitask, and a professional approach to handling the front desk.



Key Responsibilities


1. Front Desk & Visitor Management

  • Greeting and welcoming clients, visitors, interviewees, and vendors in a professional manner.
  • Ensuring visitor log entries, issuing visitor passes, and notifying concerned departments.
  • Managing meeting room bookings and ensuring cleanliness and readiness before meetings.
  • Coordinating refreshments and ensuring hospitality standards are maintained.



2. Call Management

  • Handling incoming calls with professionalism and directing them to the appropriate department/person.
  • Managing outgoing calls, maintaining call logs, and ensuring timely call-backs when required.
  • Screening spam/unnecessary calls and ensuring communication efficiency.



3. Email Management

  • Monitoring front desk/reception email inbox and responding or forwarding queries promptly.
  • Coordinating information with internal departments based on received emails.
  • Maintaining organised email communication, documentation, and follow-ups.



4. Courier & Parcel Management 

  • Receiving, recording, and dispatching all incoming/outgoing couriers, parcels, and documents.
  • Maintaining daily logs of dispatches and deliveries.
  • Coordinating with courier partners for pickups, delays, or urgent deliveries.



5. Vendor Coordination·       

  • Handling vendor visits related to office supplies, pantry items, maintenance, and services.
  • Maintaining vendor records and coordinating approvals for any purchases.
  • Following up on service calls, AMC visits, and pending requests.



6. Housekeeping & Office

  • Maintenance Management
  • Supervising housekeeping staff to ensure timely cleaning and upkeep of workstations, washrooms, pantry, reception, and common areas.
  • Monitoring cleanliness standards throughout the day.
  • Coordinating with facility/maintenance teams for repairs, replacements, and office upkeep.



7. Interview & Candidate Management

  • Managing walk-in candidates, guiding them for interviews, tests, or waiting area processes.
  • Coordinating with HR for interview schedules.
  • Keeping candidate records updated and assisting during recruitment drives.


 Additional Responsibilities

  • Handling all the DSC.
  • Assisting in basic administrative tasks and documentation.
  • Ensuring inventory management for stationery, pantry, and office supplies.
  • Supporting HR & Admin teams during events, celebrations, and company activities.
  • Handling small petty cash expenses related to front-desk operations (if assigned).
  • Maintaining confidentiality of all organisation-related information.
  • Ensuring a positive and professional front-office environment at all times.



Required Skills &

Qualifications· 

  •  Proven experience as a Receptionist, Front Desk Executive, or Admin Assistant. A fresher may work, but should have the capabilities to adapt to the work.
  • Excellent communication skills – verbal & written.
  • personality, presentable appearance, and strong interpersonal skills.
  • Basic Excel, MS Office & computer operational skills are mandatory.
  • Ability to multitask, prioritise, and work in a fast-paced environment.
  • Strong organisational and time-management abilities.
  • Professional attitude with the ability to handle pressure situations.
