Job Description: Process Associate – Operations

About the Role

 

We are looking for a proactive and detail-oriented Process Associate – Operations to support our recruitment workflow and ensure seamless coordination between clients, candidates, and internal teams. The ideal candidate must have hands-on experience in Talent Acquisition operations, interview coordination, documentation management, CRM/ATS handling, and stakeholder communication.

 

This role requires strong organizational skills, the ability to manage multiple processes simultaneously, and a commitment to delivering a high-quality experience to clients and candidates.



Key Responsibilities

 

Candidate & Client Coordination

  • Communicate proactively with client HR teams, hiring managers, and candidates to ensure timely interview scheduling and status updates.
  • Share interview confirmations, reminders, and follow-ups via emails, WhatsApp, and ATS.
  • Serve as a consistent point of contact for all process-related queries.

 

Recruitment Process Management

  • Manage end-to-end operational tasks such as interview scheduling, candidate shortlisting, and follow-up coordination.
  • Collect, verify, and organize candidate compliance and onboarding documents as per client requirements.
  • Maintain accurate candidate records, activity logs, and status updates in the CRM/ATS.

 

ATS / CRM Management & Automation

  • Work on ATS/CRM systems for daily operations: updating pipelines, tagging, status changes, notes, and progress tracking.
  • Build, optimize, and automate CRM workflows such as reminders, follow-ups, automated email triggers, and reporting dashboards.
  • Ensure data hygiene, error-free documentation, and compliance with internal process standards.

 

Operational Excellence

  • Prepare and share regular MIS reports, process trackers, and workflow updates with internal stakeholders.
  • Maintain seamless coordination between sourcing teams, recruiters, and client partners.
  • Identify process gaps and recommend improvements to enhance turnaround time and candidate experience.
  • Ensure 100% adherence to timelines and SLAs.

 

Communication & Documentation

  • Draft and send professional email communication, interview updates, and documentation reminders.
  • Communicate clearly and confidently in English (written, verbal, and comprehension).
  • Prepare onboarding packages, compliance checklists, and process documents.



Required Skills & Competencies

  • Bachelor’s degree in Management Studies / BBA / MBA (HR preferred).
  • 1–2 years of experience in Talent Acquisition Operations, Recruitment Coordination, or HR Operations.
  • Strong understanding of recruitment processes, interview workflow, and onboarding documentation.
  • Hands-on experience in ATS / CRM tools; ability to automate workflows and optimize processes.
  • Excellent English communication skills (writing, speaking, and understanding).
  • Strong email writing etiquette and professionalism.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Strong organizational, multitasking, and stakeholder coordination skills.
  • High level of ownership, accountability, and attention to detail.
  • Ability to work in a fast-paced, deadline-driven environment.



Preferred Qualities

  • Experience in a recruitment consultancy or staffing agency.
  • Familiarity with compliance and credentialing processes.
  • Tech-savvy with a process mindset and automation capability.
  • Positive attitude, problem-solving ability, and client-centric approach.
