Job Description

1. Dispatch & Logistics Coordination

·      Plan daily material dispatch based on schedules provided by other departments.

·      Coordinate with transporters, freight forwarders, and courier services for domestic transport.

·      Ensure optimum vehicle selection to minimize freight cost.

·      Track dispatched consignments and proactively resolve transit issues or delays.

2. Documentation & Compliance

·      Prepare and verify dispatch documents including:

o  Delivery Challans

o  Invoices (coordination with Accounts)

o  Packing Lists

o  E-way Bills

·      Ensure GST, customs, and statutory compliance for all shipments.

·      Maintain proper dispatch records and filing (physical & digital).

3. Packing & Material Handling

·      Ensure correct packing as per machine/component specifications and customer requirements.

·      Coordinate with stores and assembly teams for material readiness.

·      Supervise loading/unloading activities to avoid damage.

·      Ensure proper labeling, tagging, and identification of shipments.

4. Coordination & Communication

·      Liaise with Production, Stores, QA, and Sales teams to align dispatch priorities.

·      Share dispatch details with customers and internal stakeholders.

·      Handle customer queries related to shipment status and documentation.

5. Inventory & Records

·      Update ERP / Excel dispatch registers and stock movement records.

·      Maintain transporter details, rate cards, and performance records.

·      Track POD (Proof of Delivery) and close dispatch documentation.

6. Process Improvement & Cost Control

·      Identify opportunities to reduce freight costs and transit time.

·      Suggest improvements in packing standards and dispatch workflows.

·      Monitor transporter performance (timeliness, damages, cost).

Skills Required:

·       Minimum 3 years of experience in Dipatch/ Store Department. 

·       Must have fluency in Gujarati/ Hindi/ English.

·    Strong knowledge MS office, Advance Excel etc.
