Job Description

1.Existing Customer Management

  • Maintain relationships with all existing customers via phone, WhatsApp, email.
  • Receive daily orders from customers & enter into ERP/Excel.
  • Understand customer product requirements (type, size, colour, quantity).
  • Provide price confirmations and product availability updates.
  • Solve common customer issues (dispatch, quality, delay, quantity mismatch).
  • Take feedback after every dispatch.
  • Track customer buying history and ensure repeat orders.
  • Share new products, offers, schemes, and updates.
  • Retain inactive clients by re-engaging them.

2.New Customer Development

  • Generate new leads through calls, inquiry lists, exhibitions, references, online portals, and social media.
  • Make introduction calls and maintain lead sheet.
  • Share catalog, company profile, samples, and price list with new prospects.
  • Convert leads into customers with follow-ups.
  • Maintain inquiry-to-order conversion report.
  • Coordinate for new customer onboarding (KYC, GST, address, transporter details).

3.Sales Order Management

  • Prepare Sales Order (SO) and get approval from Sales Manager.
  • Confirm delivery date after checking production status.
  • Coordinate with production team for order planning.
  • Track order progress and update customers proactively.
  • Update clients if any delay or shortage.
  • Maintain daily order tracking sheet.

4.Dispatch & Logistics Coordination

  • Check stock availability with store department.
  • Prepare dispatch instruction sheet.
  • Coordinate with dispatch team for packing and loading.
  • Confirm transporter availability and rates.
  • Share LR copy, E-way bill, and dispatch details with customers.
  • Support customers with delivery tracking.
  • Handle transit issues (damage, wrong item dispatch, delay, etc.).

5.Billing & Payment Follow-Up

  • Prepare invoice request for accounts department.
  • Share invoices with customers daily.
  • Track payment due dates and credit periods.
  • Perform payment follow-up politely but firmly.
  • Resolve debit note, credit note, short payment, and TDS issues.
  • Maintain payment collection report.
  • Coordinate with accounts for reconciliation issues.

6.Customer Complaint Handling

  • Receive issues related to quality, quantity, or delivery.
  • Log complaints into system and follow internal SOPs.
  • Coordinate with QC, production, and dispatch team.
  • Provide resolution and maintain customer satisfaction.
  • Prepare complaint summary report monthly.

7.Administrative & Back Office Work

  • Maintain all sales documents: price lists, catalogues, customer master sheet.
  • Manage daily email communication & What’s App groups.
  • Update ERP/Excel with orders, dispatches, payments, inquiries.
  • Prepare daily, weekly, and monthly sales reports.
  • Maintain sales dashboard for management.
  • Assist in documentation for audits, certifications, tenders.
  • Coordinate for sample dispatches.
  • Maintain customer gift/scheme records.

8.Coordination with Internal Departments

  • Production: for order planning, priority jobs.
  • Store: for stock availability.
  • Dispatch: for packing & transport.
  • Accounts: for invoicing & payment updates.
  • Purchase: for customer-specific items.
  • Management: for reports and MIS.

9.MIS & Reporting

  • Daily sales order report.
  • Daily follow-up and inquiry status report.
  • Weekly sales projection report.
  • Monthly sales achievement report.
  • Outstanding payment report.
  • Complaint resolution report



·        Understanding Of Furniture Hardware Products

·        Good communication (Hindi, Gujarati, and English)

·        Target-oriented with a positive attitude

·        Basic computer skills (Excel, WhatsApp, email)

·        Experience In B2B Sales, Particularly With Furniture Manufacturers, Hardware Retailers of Distributors

·        Strong field sales and negotiation skills.

Capable Of handling Price discussions, Bulk Orders And Closing Deals Efficiently



• Experience in the hardware, furniture fittings, or related industry.

• Familiarity with online B2B platforms (IndiaMART, Trade India, etc.).

• Ability to work independently and meet deadlines.

• Basic knowledge of digital marketing is a plus.
