Tender Executive (Service & IT Solutions)We are looking for an experienced Tender Executive to lead our bidding efforts for Government and PSU projects. The successful candidate will manage the full lifecycle of tenders—from sourcing and pre-bid meetings to the final submission of proposals for manpower services, software solutions, and hardware procurement.
- Key ResponsibilitiesMulti-Sector Tendering: Source and analyze tenders across various domains including Manpower (Security, Housekeeping, Data Entry Operators), Software Development/SaaS, and Hardware (Laptops, CCTV, Peripherals).
- Bid Preparation & RFP Drafting: Draft comprehensive technical and financial proposals. Ensure that manpower costings (Minimum Wage compliance, EPF/ESI) and IT specifications meet the tender requirements.
- Portal Management: Expertly handle online filings on Mahatender, GeM (Government e-Marketplace), CPP Portal, and various State/Central e-Procurement platforms.
- Compliance & Documentation: Coordinate with HR and Technical teams to gather statutory documents, certificates (ISO, MSME, Startup India), and past performance credentials.
- Pre-bid Representation: Attend pre-bid meetings to seek clarifications on Scope of Work (SOW) and ensure our bid is competitive and compliant.
- Vendor & Letter Drafting: Draft professional correspondence for seeking clarifications, submitting post-bid documents, and internal coordination.
- Specific Requirements for Service/IT TenderingCategoryRequirementsExperience3+ years in Government Tendering, specifically in Services or IT sectors.Financial LiteracyStrong understanding of Price Bid (BoQ) preparation, including tax implications (GST) and labor law compliance for manpower. Technical Knowledge Basic understanding of IT hardware specs and software licensing models to assist the technical team in RFP drafting. GeM ExpertiseAdvanced skills in GeM portal operations (L1 Bidding, Custom Bids, and Reverse Auctions). CommunicationExceptional drafting skills for letters, executive summaries, and technical write-ups.Ideal Candidate Profile
- Education: Bachelor’s degree (B.Com, BBA, or BCA preferred).
- Deadline Driven: Ability to handle multiple high-stakes submissions simultaneously without compromising on accuracy.
- Analytical Mindset: Capacity to read through 100+ page Tender Documents (NIT) to spot "hidden" clauses or restrictive criteria.
- Tools: Proficiency in MS Excel (for complex BoQ calculations) and Adobe Acrobat (for document merging/optimization).
