Dispatch Officer

We are seeking a detail-oriented and proactive Dispatch Executive to oversee the end-to-end outbound logistics of our manufacturing unit. The ideal candidate will have a proven track record of managing finished goods inventory, coordinating with transporters, and ensuring that all shipments are delivered accurately and on schedule while maintaining strict compliance with documentation.

Key Responsibilities

1. Dispatch Planning & Execution Coordinate daily dispatch schedules based on production output and customer delivery deadlines.

• Ensure the right product is loaded by verifying Part Numbers, Batch Numbers, and Quantities against the Sales Order.
• Supervise the loading process to prevent transit damage and optimize vehicle space.

2. Logistics & Transporter Management: Liaise with transporters and freight forwarders to ensure timely vehicle placement.

• Track vehicle movement from the factory to the customer’s doorstep.
• Maintain a database of reliable transporters and evaluate their performance monthly.

3. Documentation & Compliance: Prepare and verify essential documents: Tax Invoices, Delivery Challans (DC), Packing Lists, and E-Way Bills.

• Handle documentation for specialized shipments (e.g., Export documents, Octori/Entry tax forms if applicable).
• Ensure all dispatches comply with GST norms and company internal audit policies.

4. Inventory & Warehouse Coordination: Maintain real-time updates of Finished Goods (FG) inventory in the Computer system.

• Conduct physical stock verification periodically and reconcile it with system records.
• Work closely with the Production and Quality departments to ensure only "Passed" stock is moved to the dispatch bay.
• Required Skills & Qualifications

Experience: Minimum 3–4 years in a dispatch or outbound logistics role specifically within a Manufacturing environment.

Education: Bachelor’s degree

Technical Skills: * Proficiency in MS Office

• Deep understanding of E-Way Bill generation and GST documentation.

Soft Skills: * Strong negotiation skills with transporters.

• Ability to work under pressure during month-end dispatch targets.
