Factory Operations & Client Coordination Executive

Location: Factory (On-site)

Reporting To: Owner / Operations Head

Role Overview

We are looking for a responsible and detail-oriented professional who will sit at the factory and act as the single coordination point between clients, sales team, production, and dispatch. The role is critical for smooth order execution, timely dispatches, and accurate client communication.

Key Responsibilities

Client & Order Management

• Receive orders from sales team / clients via WhatsApp, email, or calls

• Maintain complete order details: quantity, packaging, dispatch date, pricing, special instructions

• Act as the primary coordination person for key hotel and bulk clients

• Share order status updates proactively with clients and sales team

Production Coordination

• Coordinate daily with factory production team

• Ensure orders are planned and produced as per committed timelines

• Track raw material availability and alert management in advance

• Maintain basic production planning sheets

Dispatch & Logistics

• Coordinate with dispatch team for packing and shipping

• Share dispatch details, LR numbers, invoices, and tracking with clients

• Ensure correct product, quantity, and packaging before dispatch

• Maintain dispatch records (date, transporter, destination)

Documentation & Reporting

• Maintain daily order tracker (Excel / Google Sheet)

• Update order status: received, under production, dispatched, pending

• Share daily/weekly reports with management

• Coordinate with accounts team for billing and payment follow-ups (basic level)

Internal Coordination

• Act as a bridge between sales, accounts, production, and dispatch

• Highlight delays, issues, or client escalations early

• Ensure smooth internal communication and zero confusion
