Job Description

ROLE PURPOSE

The Admin cum PA Intern plays a central coordination role in ensuring smooth daily operations by tracking work, managing communication, facilitating teams, and supporting leadership. This role requires intelligence, psychological awareness, structured thinking, and smart tool usage to ensure people, tasks, and timelines move efficiently.

KEY RESPONSIBILITIES

1. Work Tracking, Allocation & Follow-ups

• Track tasks assigned to teams and departments.

• Monitor progress against timelines and priorities.

• Send structured reminders and follow-ups.

• Escalate delays or dependencies professionally.

• Maintain task dashboards and trackers.

2. Monitoring, Reporting & Management Updates

• Prepare concise status reports for leadership.

• Highlight pending tasks, completed work, and risks.

• Maintain reporting discipline and formats.

3. Calendar & Appointment Management

• Manage calendars, meetings, and appointments.

• Schedule meetings based on priority and availability.

• Send meeting confirmations, agendas, and follow-ups.

• Ensure meetings result in clear action items.

4. Smart Tool Usage & Digital Operations

• Use productivity tools such as Google Workspace / MS Office.

• Operate task management and collaboration platforms.

• Improve workflows to reduce manual effort.

5. Communication & Coordination (Psychology-Driven)

• Coordinate across departments using emotional intelligence.

• Adapt communication styles based on people and situations.

• Encourage accountability while maintaining motivation.

6. Team Facilitation & Operational Support

• Identify tools, collaterals, and systems required by teams.

• Research and recommend cost-effective solutions.

• Coordinate procurement and setup after approvals.

7. Administrative & Executive Support

• Support leadership with documentation and follow-ups.

• Maintain confidentiality and discretion.

• Assist with special projects and operational initiatives.
