Position: Admin Executive –
Head OfficeThe Admin Executive will be responsible for coordinating and managing administrative operations at the head office. This role includes office management, vendor coordination, visitor handling, procurement of office supplies, and ensuring efficient internal support for sales, pre-sales, and management teams. The ideal candidate must be proactive, well-organized, and capable of independently managing admin workflows.
ROLES & RESPONSIBILITIES: 1. Office
Administration & Coordination·
Oversee day-to-day administrative operations of the head office.
Maintain office cleanliness, availability of utilities, and functioning of all office facilities.
Coordinate with housekeeping, security, and maintenance staff.
Manage office documentation, filing, and administrative records.
2. Client/Visitor Management·
Coordinate and track client visits as per schedules provided by Sales and Pre-Sales teams.
Ensure meeting rooms are prepared and hospitality arrangements are made.
Greet and guide visitors, maintaining a professional front-desk experience.
Maintain a visitor log and share updates with management.
3. Procurement& Office Supplies Management·
Identify office requirements for groceries, stationery, housekeeping items, and operational supplies.
Perform price comparisons with multiple vendors for cost-effective purchasing.
Raise purchase requests, obtain quotations, and negotiate cost and quality.
Maintain stock inventory and place orders proactively before shortages occur.
4. Vendor Management·
Coordinate with vendors including electricians, plumbers, IT support, and maintenance personnel.
Ensure timely repair, service, and maintenance of office equipment.
Verify vendor invoices and submit them for approvals and payment processing.
Build a reliable vendor database for all office-related services.
5. Support to Management & Internal Teams·
Support MD/HR with administrative tasks, scheduling, and documentation.
Assist Sales/Pre-Sales teams by coordinating client-related activities and logistics.
Ensure smooth internal communication and operational support across departments.
6. Invoicing, Documentation & Reporting·
Collect, verify, and submit purchase invoices to the accounts department.
Maintain records of purchases, negotiations, and approvals.
Prepare weekly admin reports on purchases, expenses, vendor activities, and office requirements.
Ensure compliance with company policies during procurement and expense handling.
7. Transportation & Mobility (If Applicable)·
Ability to drive two-wheeler/four-wheeler for urgent procurement or office-related tasks.
Manage courier services, document collection, and field visits when required.
CANDIDATE PROFILE:·
Education: Any graduate (Admin/Management background preferred).
Experience: Minimum 2 years of experience in office administration, procurement, vendor management, or similar roles.
Required Skills:
o Strong negotiation and purchasing skills.
o Knowledge of vendor handling—especially electricians and basic technical service vendors.
o Good observation, planning, and follow-up skills.
o Proficiency in MS Office (Excel, Word), email communication, and basic documentation.
o Excellent communication, interpersonal, and organisational skills.
o Ability to multitask and handle responsibilities independently.
OtherRequirements:
o Driving skills (2-wheeler mandatory; 4-wheeler preferred).
o Positive attitude, high reliability, and strong work ethics.
