Reporting To: Head of Sales & Marketing
About the RoleWe are looking for an experienced and detail-oriented CRM Manager to oversee and enhance our end-to-end customer relationship management systems and workflows. The ideal candidate will be responsible for maintaining data integrity, ensuring team adoption, driving customer engagement, and using CRM analytics to improve lead conversion and retention.
- Key Responsibilities1. CRM Strategy & AdministrationOwn and manage the company’s CRM platform (Zoho CRM / equivalent) end-to-end.
- Design and implement process flows, automation, and integrations across sales, marketing, and service modules.
- Ensure data accuracy, deduplication, and proper tagging of leads, properties, projects, and contacts.
- Regularly audit the CRM to maintain hygiene and enforce naming, tagging, and process discipline.
- 2. Team Enablement & AdoptionTrain and support sales and marketing teams in proper CRM usage.
- Develop standard operating procedures (SOPs) and checklists for data entry and activity tracking.
- Monitor compliance and follow up on missing or incorrect entries.
- 3. Customer Lifecycle ManagementMap and monitor every stage of the customer journey — from lead to deal closure to post-sale service.
- Set up workflows and notifications to ensure timely follow-ups and proactive engagement.
- Work with marketing to run personalized email campaigns, drip journeys, and referral programs.
- 4. Reporting & InsightsGenerate regular dashboards and performance reports for management.
- Track lead sources, campaign effectiveness, conversion ratios, and sales KPIs.
- Provide actionable insights to improve sales productivity and customer satisfaction.
- 5. Cross-Functional CollaborationCoordinate with Sales, Marketing, Property Management, and Tech teams for process improvements.
- Work closely with the leadership team to align CRM data with business goals.
- Key Skills & CompetenciesStrong knowledge of Zoho CRM (or similar CRM such as Salesforce, HubSpot, or Freshsales).
- Experience in workflow automation, data management, and reporting.
- Excellent analytical and communication skills.
- Process-driven mindset with strong attention to detail.
- Ability to train and motivate teams.
- Familiarity with real estate, brokerage, or property-management workflows preferred.
- QualificationsBachelor’s or Master’s degree in Business, Marketing, or related field.
- 3–6 years of experience in CRM administration, preferably in a real-estate or service-driven business.
- Certification in CRM tools (Zoho, Salesforce, HubSpot, etc.) is a plus.
- Performance IndicatorsCRM data hygiene score (accuracy, duplicate ratio, completeness).
- Team adoption and compliance rate.
- Reduction in lead response time.
- Improvement in conversion and retention metrics.
- Timeliness and accuracy of reports/dashboards.
