Job Description

Key Responsibilities

📅 Calendar & Schedule Management

  • Managing diaries and booking appointments to prevent scheduling conflicts.
  • Controlling access to the executive by acting as a strategic gatekeeper.
  • Issuing reminders for vital deadlines, tasks, and upcoming commitments. 

📞 Communication & Gatekeeping

  • Screening incoming calls, checking emails, and managing official correspondence.
  • Drafting responses and typing memos or letters on behalf of the employer.
  • Greeting visitors and serving as the primary point of contact for clients and vendors. 

✈️ Travel & Event Logistics

  • Coordinating complex travel, including booking flights, hotels, and securing visas.
  • Compiling detailed itineraries to ensure smooth domestic and international trips.
  • Organising business events, corporate meetings, dinners, and large conferences. 

📝 Meeting Support & Documentation

  • Preparing agendas and gathering necessary briefing papers before meetings.
  • Taking accurate minutes, recording dictation, and tracking action items.
  • Creating spreadsheets, professional presentations, and performance reports. 

🗃️ Administration & Finance

  • Maintaining filing systems and digital databases with strict security.
  • Processing expenses, tracking budgets, and managing petty cash invoices.
  • Handling personal errands or household staff management depending on the employer's needs.
