Job Description


We are looking for a highly organized and trustworthy Personal Secretary to manage end-to-end administrative, communication, and coordination responsibilities for the Managing Director. The role requires excellent communication skills, strong Excel knowledge, multilingual ability, and the capability to handle sensitive situations independently and professionally.


Key Responsibilities

End-to-End Mail & Communication Management



Handle all incoming and outgoing emails on behalf of the Managing Director



Draft, reply, and follow up on professional emails



Filter, prioritize, and flag important communications



Maintain confidentiality of all correspondence



Excel & MIS Support



Prepare reports, trackers, and dashboards using MS Excel



Maintain MIS related to meetings, follow-ups, sales, expenses, and tasks



Analyze data and present summaries to management



Calendar & Schedule Management



Manage daily calendar, appointments, and meetings



Schedule calls, meetings, and reminders



Coordinate with internal teams and external stakeholders



Communication & Coordination



Act as the first point of contact for calls, visitors, and emails



Communicate confidently with clients, vendors, and senior executives



Coordinate with multiple departments to ensure timely execution



Language & Presentation



Communicate fluently in English and Hindi (additional languages preferred)



Draft professional messages, notes, and presentations



Represent the Managing Director in routine communications



Situation Handling & Decision Support



Handle urgent situations calmly and professionally



Take ownership of tasks and ensure closure



Anticipate requirements and proactively support the Managing Director




Required Skills & Qualifications



Graduate / Post Graduate (preferred)



2–5 years of experience as Personal Secretary / Executive Assistant



Expert-level knowledge of MS Excel (Formulas, Pivot Tables, MIS)



Excellent verbal and written communication skills



Fluency in English and Hindi



Strong organizational and multitasking abilities



High level of discretion and integrity




Preferred Skills



Knowledge of Google Workspace (Docs, Sheets, Calendar)



Experience in handling senior management communications



Ability to work independently with minimal supervision
