Job Description

  1. Pharmacy Assistant – Roles & Responsibilities (All Rotational Shifts)Position: Pharmacy AssistantDepartment: PharmacyReporting To: Chief Pharmacist / Pharmacy In-ChargeWork Pattern: Rotational Shifts (Morning / Evening / Night)1. General ResponsibilitiesAssist the Pharmacist in dispensing medicines as per valid prescriptions.
  2. Ensure correct medicine, dosage, quantity, and labeling before handing over to patients.
  3. Maintain proper storage of medicines as per temperature and safety guidelines.
  4. Arrange medicines in racks according to category and batch.
  5. Check expiry dates regularly and remove near-expiry/expired medicines.
  6. Maintain cleanliness and hygiene of the pharmacy area.
  7. Support billing and invoice generation in the pharmacy software.
  8. Assist in stock verification and inventory control.
  9. Coordinate with IP, OP, ICU, OT, and emergency departments for medicine supply.
  10. Follow hospital policies, NABH standards, and safety protocols.
  • 2. Prescription HandlingVerify prescription details (Doctor name, date, signature).
  • Inform Pharmacist immediately if any doubt in prescription.
  • Avoid dispensing Schedule H/H1/X drugs without proper authorization.
  • Ensure proper entry in Schedule drug register (if applicable).
  • 3. Stock & Inventory ManagementMonitor daily stock movement.
  • Prepare indents for stock shortage.
  • Receive and check supplier deliveries (batch number, expiry, quantity).
  • Update stock in software system.
  • Maintain FIFO (First In First Out) and FEFO (First Expiry First Out) method.
  • 4. Billing & DocumentationGenerate pharmacy bills accurately.
  • Maintain cash/card/UPI transaction records.
  • Submit daily sales report to Pharmacy In-Charge.
  • Maintain GRN (Goods Receipt Note) and purchase records.
  1. Shift-Wise Responsibilities🌅 Morning Shift ResponsibilitiesCheck refrigerator temperature log and record.
  2. Verify emergency crash cart medicines.
  3. Arrange and restock fast-moving medicines.
  4. Coordinate with wards for morning indent supply.
  5. Update pending bills and IP patient medication charges.
  6. 🌇 Evening Shift ResponsibilitiesHandle peak OP pharmacy rush.
  7. Ensure correct billing and patient counselling support.
  8. Monitor stock of emergency and critical medicines.
  9. Prepare shift handover report.
  10. Check near-expiry stock and inform In-Charge.
  11. 🌙 Night Shift ResponsibilitiesAttend emergency medicine requirements.
  12. Supply medicines to casualty/ICU without delay.
  13. Maintain emergency drug register.
  14. Ensure narcotic drug register entry (if applicable).
  15. Maintain safety, lock control, and restricted drug access.
  16. Prepare next day medicine requirement note.
  • 5. Patient Care & CommunicationGuide patients regarding dosage timing (as instructed by Pharmacist).
  • Maintain polite and professional behavior.
  • Handle patient queries calmly.
  • Maintain confidentiality of patient information.
  • 6. Compliance & SafetyFollow biomedical waste segregation rules.
  • Ensure LASA (Look-Alike Sound-Alike) medicines are separated.
  • Report any medication error immediately.
  • Follow infection control protocols.
  • 7. Prohibited ActivitiesDo not dispense medicines without Pharmacist supervision.
  • Do not alter prescriptions.
  • Do not engage in personal activities during duty hours.
  • No misuse of hospital stock.
  • Required QualificationsD.Pharm / B.Pharm (Preferred)
  • Basic knowledge of hospital pharmacy operations
  • Computer knowledge (Pharmacy Software / HMIS)
  • Good communication skills
