JOB PURPOSE/OVERVIEW/SUMMARY:


We are looking for a proactive, self-driven, and detail-oriented Senior Associate – HR & Admin with 2–3 years of experience in HR Generalist and Administration functions. The role requires strong ownership, the ability to anticipate people and office-related needs, and independently manage day-to-day HR and administrative operations while contributing to process improvements and a positive workplace culture.


KEY DELIVERABLES / RESPONSIBILITIES:


Recruitment & Talent Acquisition


  • Proactively manage end-to-end recruitment including sourcing, screening, shortlisting, interview coordination, and HR discussions.
  • Anticipate hiring needs and maintain a healthy candidate pipeline to reduce turnaround time.
  • Coordinate closely with hiring managers to understand workforce requirements and align hiring plans accordingly.
  • Maintain recruitment trackers, documentation, and follow-ups to ensure timely closures.
  • Support smooth onboarding and induction of new employees.

HR Operations & Generalist Activities


  • Independently manage attendance, leave records, and employee data with high accuracy and ownership.
  • Proactively identify and resolve attendance, leave, and HR-related issues by coordinating with employees and managers.
  • Maintain and update HRIS systems, ensuring data accuracy and compliance.
  • Share accurate HR inputs for payroll processing within defined timelines.
  • Prepare HR documents such as offer letters, appointment letters, confirmation letters, and exit documentation with attention to detail.
  • Handle employee queries in a solution-oriented and professional manner.
  • Ensure complete and up-to-date employee records and documentation.

Administration & Office Management


  • Take ownership of day-to-day office administration and ensure smooth office operations without constant supervision.
  • Ensure overall workplace neatness, cleanliness, and hygiene standards are consistently maintained across the office premises.
  • Proactively manage office requirements including stationery, pantry, housekeeping, and vendor coordination.
  • Anticipate infrastructure and facility needs such as IT assets, seating, internet, and maintenance support.
  • Coordinate administrative onboarding activities such as ID cards and asset allocation.
  • Maintain admin records, vendor invoices, and expense documentation; ensure timely follow-ups with internal teams.
  • Act as a single point of contact for facility management and external service providers.
  • Ensure office safety, hygiene, and basic workplace compliance standards are consistently met.

Employee Engagement & Culture


  • Actively contribute ideas and support execution of employee engagement initiatives, celebrations, and events.
  • Proactively support HR communications and initiatives that promote a positive and inclusive work culture.
  • Demonstrate a people-first approach while balancing organizational requirements.

Compliance and Reporting


  • Ensure HR and admin processes are aligned with company policies and statutory requirements.
  • Proactively maintain compliance-related documentation and support audits when required.
  • Prepare monthly and ad-hoc HR/Admin reports with accuracy and timeliness.

KEY SKILLS & QUALIFICATION REQUIRED:


  • MSW / MBA in Human Resources or equivalent qualification.
  • 2–3 years of experience in HR Generalist and Administration roles.
  • Strong proactive mindset with the ability to anticipate issues and take initiative.
  • Excellent follow-up, ownership, and problem-solving skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Strong interpersonal, communication, and coordination skills.
