Job Description

The Junior Associate – Office & Administration is responsible for the smooth operation of office facilities, travel coordination, production support, and vendor management. This role demands a proactive attitude, attention to detail, and strong organizational skills to maintain a professional and efficient work environment.

Key Responsibility Areas (KRAs)

1. Office Administration

Ensure office opens at 9:30 AM and closes at 6:30 PM; develop a system for compliance.

Coordinate after-hours or holiday office access for employees.

Maintain a Visitor Register for all external guests.

Manage Incoming and Outgoing Courier logs.

Oversee Office Housekeeping: through housekeeping staff and occasional vendors 

Electricity, plumbing, lighting, internet and AC maintenance

Drinking water supply

General office cleanliness

Washroom hygiene- maintain cleanliness records

Work desk cleanliness and tidiness 

Scheduled deep cleaning- wash rooms and office premises 

Stock of consumables (paper, cleaning materials, etc.)

Organize food and hospitality for visiting clients and investors.

Manage logistics for office events e.g. client visits, celebrations, workshops etc.

2. Travel & Stay Arrangements

Book travel tickets (air/train/bus/cab) and hotel stays for employees.

Empanel budget-friendly service apartments in key cities: Mumbai, Delhi, Pune, Nagpur, Hyderabad, and Chennai.

Reconcile travel expenses and GST documentation for company platform bookings (e.g., MakeMyTrip).

3. Printing & Production

Coordinate production and replenishment of office supplies (letterheads, envelopes).

Manage production of marketing collaterals (QR Code stickers, posters).

Develop a pan-India network of reliable printing vendors.

4. Vendor Bill Management

Ensure all vendor bills are:

Verified and approved by the concerned department.

Recorded accurately for timely payments.

GST compliant where applicable.

5. Budget Management

Work out a budget for housekeeping 

Try and get post service payment 

Advances shall be provided for petty cash expenses
