Receptionist & Admin Executive – Bangalore Headquarters

Location: Kalyan Nagar, Bengaluru

Department: Administration

Reporting To: General Manager

Role Summary:

The Receptionist & Admin Executive will be the first point of contact for visitors and callers, maintain front-desk operations, handle basic documentation, office administration, and support HR & operations teams in daily coordination. The role requires professional communication, organisation and a friendly personality.

✅ Key Responsibilities: Front Desk & Communication

✅ Receive visitors, clients, candidates and guide them appropriately

✅ Manage incoming calls, emails, messages & maintain visitor logs

✅ Handle courier – incoming/outgoing, tracking & filing

✅ Maintain a clean and presentable reception area

Office Administration✅ Track office supplies: stationery, ID cards, uniform requisition, housekeeping items

✅ Coordinate with vendors (printers, housekeeping, maintenance, IT)

✅ Manage petty cash & prepare reimbursement slips

✅ Keep well-organised physical & digital records

HR & Support Work

✅ Assist in arranging interviews and follow up with candidates

✅ Collect basic documents from new joinees & send to HR (Aadhaar, PAN, photos)

✅ Update attendance sheets and follow up with field staff for missing entries

✅ Prepare and file employee ID cards and joining kits

Operations Support

✅ Coordinate with field officers for deployment information

✅ Maintain simple trackers – deployment, attendance, visitor list, call log

✅ Share site attendance sheets with the operations/accounts team


Requirements:

  • Education: PUC / Graduate
  • Experience: 0–2 years (freshers can be considered)
  • Languages: English + Hindi required; Kannada an advantage
  • Proficient with phone handling, MS Office/Excel basics
  • Polite, professional, punctual and well-presented personality
  • Work Timings: Monday to Saturday (full-time, office-based)
  • 10:00 AM – 6:30 PM (or company timing) Saturdays: 10:00AM-3:30PM
