Center Operations Manager

Role Overview

The Clinic Operations Manager is responsible for the day-to-day functioning of the fertility clinic, ensuring that clinical, operational, and patient-flow processes run smoothly and efficiently. This role works closely with doctors, embryology teams, care managers, and central functions to deliver consistent, high-quality care while maintaining strong operational discipline.

Key Responsibilities

Clinic Operations & Daily Execution

• Own day-to-day clinic operations including scheduling, patient flow, resource utilization, and operational readiness
• Ensure smooth coordination between front office, care managers, nursing, embryology, and doctors
• Monitor daily appointment flow, procedure schedules, and room utilization to minimize delays and bottlenecks
• Act as the escalation point for operational issues affecting patient care or clinic performance

Process & SOP Management

• Implement and enforce clinic SOPs across operations, patient flow, documentation, and coordination
• Ensure accurate and timely documentation in EMR systems across all teams
• Identify gaps in workflows and drive continuous process improvement
• Support audits, inspections, and internal quality reviews

People & Shift Management

• Manage clinic staffing schedules including care managers, nursing staff, and support teams
• Ensure adequate coverage during peak hours, procedures, and treatment cycles
• Support training, onboarding, and adherence to operational protocols
• Work with HR on attendance, rostering, and performance feedback

Inventory, Vendors & Infrastructure

• Oversee inventory planning and procurement for consumables, medications, and operational supplies
• Coordinate with vendors for equipment servicing, AMC renewals, and facility maintenance
• Ensure infrastructure readiness including power, backup systems, cleanliness standards, and safety protocols

Patient Experience & Escalations

• Ensure patient journeys are efficient, predictable, and well-coordinated
• Handle operational escalations related to scheduling, delays, or coordination breakdowns
• Partner with care managers to maintain high service standards while balancing clinic capacity

Reporting & Performance Tracking

• Track and report key operational metrics including appointment utilization, cycle throughput, cancellations, and wait times
• Support financial tracking related to operations, cost control, and resource utilization
• Share insights with leadership to improve efficiency and scalability

Cross-Functional Coordination

• Work closely with central operations, finance, HR, compliance, and clinical leadership
• Support new service launches, process rollouts, and clinic expansions
• Act as the operations point person during new launches or scale-ups

Who You Are

2+ years of experience in healthcare operations, hospital administration, or fertility clinic management

Familiarity with ART regulations, NABH standards, or healthcare compliance

Strong operational mindset with attention to detail and follow-through

Comfortable managing multiple teams, schedules, and competing priorities

Calm under pressure and effective at resolving issues in real time

Clear communicator with strong coordination skills
