Job Title: Merchandiser – Luxury Couture (Mahitha Prasad)

Role SummaryThe Merchandiser at Mahitha Prasad is responsible for end-to-end sourcing, cost control, inventory management, and on-time material readiness for client orders and in-house collections. This role ensures the production team receives accurate, quality-checked material kits within defined timelines, while maintaining cost efficiency, vendor accountability, and clean financial documentation.

This is a high-ownership, execution-critical role that directly impacts delivery timelines, product quality, and profitability.

• Key Responsibilities1. Raw Material Sourcing & ReadinessSource all raw materials for client orders and Mahitha Prasad collections as per approved design requirements.
• Ensure 100% material readiness and box delivery to production within 5 days from order confirmation.
• Prioritise urgent and fast-track orders without compromising quality.
• Conduct proactive quality checks on fabrics, dyed materials, embroidery and trims before inwarding.
• 2. Production Box ManagementPrepare complete, accurately tagged production boxes with box slips and product tags.
• Ensure no missing items through pre-dispatch QC.
• Update Daily Production Tool immediately upon dispatch to production.
• 3. Costing & Vendor OptimisationTrack and update raw material and packaging costs for every order in the Merchandising Tool.
• Conduct regular cost analysis to identify high-quality, cost-effective sourcing options.
• Perform monthly vendor research and present recommendations to management.
• 4. Inventory & Stock ControlMaintain raw material and packaging inventory trackers.
• Anticipate requirements in advance through weekly and monthly sourcing reviews with Production and Design teams.
• Raise purchase orders with prior approvals to avoid stock-outs or over-purchasing.
• 5. Purchase Orders & BillingCreate purchase orders for:

• Coordinate vendor billing post material receipt and QC.
• Perform vendor bill reconciliation twice a month.
• Share GST bills with auditors on scheduled dates.
• 6. Logistics & DispatchBook and manage couriers based on client delivery timelines.
• Track all incoming and outgoing shipments.
• Maintain daily updates in the courier tracker.
• 7. Reporting & GovernanceShare weekly sourcing expenditure reports.
• Flag sourcing delays or risks proactively through red-flag reports.
• Ensure daily updates across all operational tools including Timesheet, Production Tool, Merchandising Tool, and Zoho Books.
• 8. Product Finishing CoordinationCoordinate finishing details such as tassels, dori designs, and final touches with design and finishing teams.
• Ensure timely communication and alignment during finishing stages.
• Key Performance Metrics100% sourcing and production box delivery within 5 days of order placement
• Zero escalations from Production due to material delays or errors
• Accurate and up-to-date costing for every order
• Inventory variance within defined limits
• Timely reporting and tool adherence
• Ideal Candidate ProfileExperience in merchandising or sourcing within luxury fashion, couture, or premium ethnic wear
• Strong vendor management and negotiation skills
• High attention to detail and quality orientation
• Comfortable working with Zoho Books or similar ERP tools
• Ability to handle pressure, urgent orders, and multiple timelines simultaneously
