Job Description

We are seeking a Dynamic Female Frontoffice Admin to join our team. The ideal candidate should have prior experience in managing reception areas, possess excellent communication skills in English and Kannada (Hindi is an added benefit), and be proficient in multitasking. The Front Office Admin will play a crucial role in handling day-to-day administrative tasks, interacting with clients, managing appointments, stock, and supporting overall clinical administration.


Responsibilities:

  1. Reception Management:
  2. Greet and assist visitors with a friendly and professional demeanor.
  3. Manage phone calls, inquiries, and emails promptly and efficiently.
  4. Maintain a tidy and organized reception area.
  5. Client Communication:
  6. Ensure excellent communication with clients in English and Kannada (Hindi is an added advantage).
  7. Provide information about services, trainings, schedules, and any relevant details.
  8. Address client queries and concerns in a courteous manner.
  9. Multitasking:
  10. Efficiently handle multiple tasks simultaneously.
  11. Prioritize and manage appointments, ensuring smooth operation of daily activities.
  12. Basic Media Skills:
  13. Possess a basic understanding of taking photos and videos for documentation purposes.
  14. Ensure proper storage and organization of media files.
  15. Appointment Handling:
  16. Manage and schedule appointments for clients with attention to detail.
  17. Coordinate with Doctor schedule to optimize appointment booking.
  18. Stock Management:
  19. Monitor and maintain inventory of office and clinical supplies.
  20. Coordinate with relevant parties for restocking when necessary.
  21. Clinical Administration:
  22. Assist in overall clinical administration tasks as directed by Doctor
  23. Collaborate with the healthcare team to ensure seamless operations.
  24. English Proficiency:
  25. Demonstrate strong written and verbal communication skills in English.
  26. Ability to think and respond to client enquiries via whatsapp.
  27. Ensure accurate and professional correspondence with clients and team members.


Qualifications:

  • Previous experience in a receptionist or frontdesk role.
  • Fluency in English and Kannada (Hindi proficiency is an added benefit).
  • Basic photography and videography skills.
  • Strong organizational and multitasking abilities.
  • Excellent client communication skills.
  • Responsible and reliable work ethic.
  • Ability to work collaboratively in a team.
  • Should be good in framing english sentences.
