Job Description
- Key Responsibilities1. Appointment, Scheduling & Front Office OperationsOversee daily appointment and therapy scheduling across all departments (OT, Speech Therapy, BT, SI, etc.).
- Ensure timely coordination between therapists, parents, and support staff.
- Monitor waiting lists, session timings, cancellations, and rescheduling.
- Ensure smooth front desk functionality and parent communication.
- 2. Payment Tracking & Billing ManagementDevelop and maintain a structured Payment Tracking System for therapy sessions, assessments, packages, and renewals.
- Ensure all payments are recorded accurately (UPI, cash, online, invoices).
- Follow up on pending payments in a professional, parent-friendly manner.
- Coordinate with accounts for monthly reconciliation and reporting.
- 3. HR ManagementHandle complete employee lifecycle: recruitment, interviews, onboarding, offer letters, confirmation letters, and documentation.
- Prepare and roll out offer letters and appointment letters for new hires.
- Maintain attendance, leave records, and staff schedules.
- Implement HR policies, code of conduct, and therapist performance standards.
- Support training programs for therapists and administrative staff.
- Conduct periodic performance reviews and feedback discussions.
- 4. Administrative & Center OperationsEnsure smooth daily operations of the center including cleanliness, safety, maintenance, and resource availability.
- Coordinate procurement of therapy materials, stationery, and supplies.
- Create SOPs for administrative tasks, emergency procedures, and parent interaction.
- Maintain proper filing, documentation, and compliance records.
- 5. Patient Relationship & Parent EngagementBuild and maintain strong relationships with parents and caregivers.
- Address parent concerns promptly and empathetically.
- Ensure consistent communication regarding progress updates, schedules, and center policies.
- Support parent onboarding by explaining therapy processes, packages, policies, and expectations.
- Enhance parent experience through feedback surveys and regular engagement.
- 6. Coordination With Therapists & ManagementEnsure clear communication between HR/Admin team and therapists.
- Assist in managing therapist workloads, session timings, and room allocation.
- Prepare regular reports for management on operations, HR, performance, payments, and scheduling.
- Assist in planning workshops, awareness programs, and parent meetings.
- Qualifications & SkillsBachelor’s degree in HR, Administration, or related field (MBA preferred).
- Experience in healthcare, therapy centers, hospitals, or child development centers (preferred).
- Strong communication, interpersonal, and organizational skills.
- Empathy and understanding of child therapy environments.
- Ability to multitask, problem-solve, and handle a fast-paced setup.
- Proficiency in MS Office, scheduling software, CRM tools, or therapy management software.
