Job Description: Manager – Process Documentation

Department: Operations / Process Excellence

Experience: 3–5 Years

Location: As per Jana requirements

Maximum CTC: Up to ₹7 Lakhs per annum

Role Overview

The Manager – Process Documentation will be responsible for creating, updating, standardizing, and maintaining process documents across departments at Jana. The role ensures accuracy, clarity, and compliance of all SOPs, process notes, circulars, and communication documents. The candidate must possess excellent written communication and email drafting skills to support internal alignment and operational efficiency.


Key Responsibilities

1. Process Documentation & Standardization

  • Develop, revise, and maintain Standard Operating Procedures (SOPs), process notes, checklists, and workflows for various business functions.
  • Ensure documentation adheres to Jana’s quality, compliance, and audit standards.
  • Work closely with process owners to capture requirements and convert them into clear, structured documents.

2. Communication & Drafting Support

  • Draft high-quality internal communications, circulars, updates, and process announcements.
  • Ensure all communication is concise, error-free, and aligned with business guidelines.

3. Process Mapping & Improvement Support

  • Assist teams in mapping processes end-to-end using flowcharts or process maps.
  • Identify documentation gaps and ensure timely updates in coordination with stakeholders.

4. Compliance & Audit Readiness

  • Maintain version control and documentation logs for audit and compliance requirements.
  • Ensure all process documents remain updated and accessible for internal review.

5. Stakeholder Coordination

  • Collaborate with Operations, Risk, Compliance, HR, and other teams to capture changes and update documents.
  • Facilitate periodic reviews to ensure documentation accuracy.


 

 

Required Skills & Competencies

  • Excellent written communication and mail drafting skills (mandatory).
  • Strong command over English grammar, structure, and documentation formatting.
  • Ability to understand complex processes and simplify them into clear documents.
  • Proficiency in MS Word, MS PowerPoint, and basic process mapping tools.
  • Attention to detail and strong organizational skills.
  • Ability to manage multiple documentation tasks with tight timelines.


Educational Qualification

  • Graduate/Postgraduate in any discipline.
  • Certification in process management or documentation (optional but preferred).
