Job Description

Job Summary:

We are seeking a detail-oriented and organized Administrative Assistant with strong proficiency in Advanced Excel and excellent communication skills. The ideal candidate will manage office tasks efficiently, coordinate communications, and support various administrative functions. A strong ability to draft, type, and send professional emails is essential.

Key Responsibilities:

  • Excel Management: Create, maintain, and analyse spreadsheets using Advanced Excel functions (pivot tables, VLOOKUP, data analysis, conditional formatting, etc.).
  • Office Coordination: Assist in managing daily administrative tasks such as scheduling meetings, coordinating calendars, and handling incoming and outgoing communications.
  • Email Management: Compose, format, and send professional emails on behalf of the company and its departments, ensuring timely responses.
  • Data Entry & Reporting: Ensure accurate data input and generate reports for management, highlighting key information and metrics as required.
  • Document Management: Maintain and organize important files, records, and documents (both digital and physical) for easy access and retrieval.
  • Communication: Serve as a liaison between departments, clients, and external stakeholders, ensuring clear and timely communication.
  • Support Functions: Provide administrative support to various departments when needed, ensuring smooth and efficient operations.

Required Skills and Qualifications:

  • Proficiency in Advanced Excel (pivot tables, VLOOKUP, data analysis, etc.).
  • Excellent written and verbal communication skills.
  • Strong typing skills for drafting and sending professional emails.
  • Ability to multi-task and prioritize work in a fast-paced environment.
  • Detail-oriented and highly organized with good time management skills.
  • Basic knowledge of other Microsoft Office tools (Word, PowerPoint).
  • Experience in administrative roles preferred.

Education:

  • Bachelor’s degree or equivalent in a relevant field preferences.
