Office Administrator


Position Overview


We are seeking a smart, customer-friendly, and organized Office Administrator to manage daily operations at the Roots & Rays site office. The ideal candidate should also have basic sales understanding to engage with walk-in customers, explain project highlights, and support the sales team until a sales manager takes over.Key Responsibilities


1. Customer Handling & Registration

• Greet and welcome all walk-in customers professionally.

• Manage customer login and collect essential details.

• Accurately fill out customer forms and ensure proper documentation.

• Guide customers to the sales/pre-sales team while maintaining a smooth handover.

• Maintain a daily walk-in register and update CRM sheets.


2. Basic Sales Support

• Provide initial project briefing to customers (location, amenities, approvals, pricing range, project highlights).

• Answer basic questions until the sales manager joins the discussion.

• Coordinate with sales team members to ensure no customer is unattended.

• Assist in organising and conducting EOI activities, site walk-throughs, and project presentations.


3. Hospitality & Front Desk

• Arrange refreshments such as water, coffee, tea, and snacks for customers.

• Maintain a clean, welcoming front office and customer lounge environment.

• Ensure all display materials, brochures, and sample layouts are neatly presented.


4. Office & Facility Management

• Manage site office stationery, printing supplies, forms, and brochures.

• Coordinate with support teams for cleaning, maintenance, and system requirements.

• Track stock of consumables and ensure uninterrupted office functioning.

• Oversee cleanliness and upkeep of cabins, meeting areas, restrooms, and common areas.


5. Administrative Support

• Maintain petty cash records, vendor contacts, and office bills.

• Prepare daily and weekly reports on walk-ins, leads, stationery usage, and office requirements.

• Support in CP meets, launch days, and customer events at the project site.


Qualifications & Skills

• 1–3 years of experience in administration/front office (real estate experience preferred).

• Basic knowledge of real estate sales processes (advantage).

• Strong communication skills in English, Kannada, and Hindi.

• Good computer skills (MS Office, CRM entry, email handling).

• Pleasant, well-groomed, customer-centric personality.

• Ability to multitask and maintain discipline in office operations.
