Operations Executive – Vendor Onboarding & Management

Location: Karnataka (Field + Coordination Role)

Reporting To: Operations / Asset Liquidation Head

Role Overview

The Operations Executive – Vendor Onboarding & Management will be responsible for building, managing, and scaling a reliable vendor network across Karnataka for recyclable materials. The role requires close coordination with Asset Liquidation and Marketplace teams to ensure seamless sourcing, pickup, payments, logistics, and profitability while maintaining high compliance and service standards.

Key Responsibilities

1. Vendor Onboarding & Network Expansion

Identify, onboard, and verify aggregators and segregators for:

Plastics (PET, HDPE, PP)

Ferrous Metals

Non-Ferrous Metals

Develop a minimum of two reliable vendors per district across Karnataka.

Maintain and update vendor documentation, including:

PCB authorization

GST registration

Trade history and compliance records

Build a structured and dependable sourcing ecosystem.

2. Coordination with Asset Liquidation Team

Work closely with the Asset Liquidation team to ensure:

Timely vendor payments for factory-disposed materials

Scheduled material pickups without delays

Monitor pickup timelines to ensure client satisfaction and smooth site clearance.

Oversee logistics coordination, invoicing, dispatch documents, and proof of delivery.

Act as a communication bridge between clients, vendors, and internal teams to avoid disputes or delays.

3. Coordination with Marketplace Team

Collaborate with the Marketplace team to source recyclable materials from the vendor network based on live platform demand.

Ensure materials meet recycler specifications, including:

Grade and purity

Contamination limits

Moisture and quality standards

Arrange cost-efficient transportation and timely delivery to recyclers or buyers.

Educate and support vendors on marketplace processes such as grading, quality checks, and payment timelines.

4. Negotiation, Procurement & Fulfillment

Negotiate purchase and sale prices to ensure fair, transparent, and profitable transactions.

Track procurement and delivery margins to meet internal profitability targets.

Ensure accurate and timely execution of:

Purchase Orders

Invoices

Delivery Challans

Vendor payments and settlements

5. Operational Excellence & Relationship Management

Establish and manage a hub-and-spoke operational model across Karnataka.

Monitor field operations, vendor performance, and fulfillment quality.

Build strong, long-term vendor relationships through:

Regular engagement

Clear communication

Reliable payment coordination

Continuously improve operational efficiency and service quality.

Performance Metrics (KPIs)

The role will be evaluated on:

Vendor Onboarding: Minimum of 2 strong vendors per district

Monthly Sourcing Volume: Quantity and quality of materials mobilized

Pickup Timeliness: % of pickups completed within client timelines

Vendor Compliance: Documentation completeness and regulatory adherence

Profitability: Positive margins and sourcing cost efficiency

Vendor Retention & Satisfaction: Long-term engagement and smooth payment cycles
