Job Description
We are seeking a highly organized, trustworthy, and proactive Personal Assistant to support the Owner of Maisai Realty in managing daily operations, real estate coordination, communications, reporting, and administrative tasks. The ideal candidate will act as a central point of coordination between the owner, sales team, clients, and channel partners.
This role requires strong follow-up skills, confidentiality, multitasking ability, and understanding of real estate operations.
- Key Responsibilities1. Executive & Administrative SupportManage the Owner’s calendar, meetings, and appointments.
- Handle calls, emails, and client communications professionally.
- Prepare meeting agendas, MOM (Minutes of Meeting), and follow-ups.
- Coordinate site visits and client meetings.
- Travel coordination (if required).
- 2. Real Estate Operations SupportCoordinate with sales team for lead updates and closures.
- Maintain daily sales tracking sheet.
- Follow up with clients for documentation and payments.
- Assist in booking documentation and agreement coordination.
- Track inventory status (available / blocked / sold units).
- 3. Ads & Listing CoordinationOversee posting and updating of property ads on portals like:
- 99acres
- Magicbricks
- Housing.com
- Facebook Marketplace
- Ensure property descriptions, pricing, and photos are accurate.
- Monitor portal performance and lead inflow.
- 4. Reporting & MISPrepare daily, weekly, and monthly reports:
- Leads received
- Sales conversions
- Inventory updates
- Payment status
- Maintain Excel dashboards and CRM updates.
- Provide summary reports to Owner for decision-making.
- 5. Financial & Documentation CoordinationTrack client payment schedules.
- Coordinate with accounts team for receipts and invoices.
- Maintain confidential documents and agreements.
- Ensure proper filing (digital and physical records).
- 6. Vendor & Team CoordinationCoordinate with channel partners and brokers.
- Follow up with marketing vendors.
- Ensure team task completion and deadline tracking.
- Required Skills & QualificationsBachelor’s degree (Business Administration preferred).
- 2+ years experience as Personal Assistant / Executive Assistant (Real Estate preferred).
- Strong MS Excel & reporting skills.
- Excellent communication and follow-up skills.
- High level of confidentiality and professionalism.
- Ability to multitask and work under pressure.
