Job Description

Role Overview:

As the Personal Assistant to the CEO, you will play a crucial role in managing and optimizing the daily operations of the CEO’s office. You will be the right-hand person who ensures that all schedules, communications, travel, and procedures run smoothly, enabling the CEO to focus on high-level strategic priorities. This role requires someone with at least one year of experience in a similar administrative or executive support role.

  • Key Responsibilities:Managing Schedules: Plan and manage the CEO’s calendar, including scheduling meetings, appointments, and events. Ensure time is optimized and well-organized.
  • Handling Communications: Serve as the first point of contact for calls, emails, and other forms of communication. Respond to inquiries professionally and efficiently, passing on relevant messages.
  • Preparing Reports: Compile, format, and prepare reports, presentations, and correspondence to assist the CEO in making informed decisions. Should also be able to research and get Information on various topics.
  • Organizing Travel: Handle all aspects of travel arrangements, including booking flights, accommodation, and ground transportation. Ensure all details are coordinated and seamless.
  • Managing Expenses: Track, file, and organize receipts, invoices, and expenses. Prepare necessary reports for reimbursement and budgeting.
  • Representing the CEO: Act as the voice of the CEO in emails, calls, and meetings when appropriate. Maintain a professional and confident demeanour at all times.
  • Maintaining Procedures: Help develop and maintain efficient administrative systems and workflows to improve office efficiency.
  • Liaising with Others: Serve as the liaison between the CEO and internal staff, suppliers, and clients. Foster strong working relationships across the organization.
  • Qualifications:At least 1 year of experience in a similar administrative, executive assistant, or personal assistant role.
  • Exceptional organizational and time-management skills with a keen eye for detail.
  • Strong communication skills (both written and verbal), with the ability to represent the CEO effectively.
  • Ability to manage multiple tasks and projects while maintaining professionalism under pressure.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and other business productivity tools.
  • Discretion and confidentiality when dealing with sensitive information.
  • Ability to adapt and be flexible in a fast-paced environment.
