Position Overview
This role combines strategic vendor management with financial coordination responsibilities, focusing on market intelligence, vendor empanelment, and comprehensive invoice tracking across both client and vendor transactions.
Primary Responsibilities
1. Market Survey and Intelligence
Conduct comprehensive market surveys to identify potential vendors and contractors across required service categories. Research industry trends, pricing benchmarks, and emerging suppliers to maintain competitive advantage. Analyze market conditions, service quality standards, and pricing structures to inform vendor selection decisions. Prepare detailed market intelligence reports with recommendations for leadership review.
Maintain awareness of regulatory changes, compliance requirements, and industry best practices affecting vendor partnerships. Monitor competitor vendor strategies and service delivery models to identify opportunities for improvement.
2. Vendor Empanelment and Onboarding
Develop and execute vendor empanelment processes ensuring compliance with organizational policies and procurement standards. Evaluate potential vendors through comprehensive assessment criteria including financial stability, technical capability, service quality, compliance certifications, and references.
Coordinate vendor registration procedures including documentation collection, verification of licenses and certifications, background checks, and contractual negotiations. Maintain updated vendor database with complete records of empaneled contractors including contact information, service capabilities, geographic coverage, and performance history.
Facilitate smooth onboarding of new vendors through orientation sessions covering organizational expectations, invoicing procedures, quality standards, and communication protocols. Establish clear performance metrics and service level agreements with each empaneled vendor.
3. Client Invoicing Management
Oversee the complete client invoicing lifecycle from invoice generation through payment receipt.
Track invoice submission dates, follow up on pending approvals, and maintain communication with clients regarding payment status. Monitor accounts receivable aging reports and coordinate with finance team on collection activities for overdue invoices. Resolve client queries related to invoicing discrepancies, pricing questions, or billing disputes promptly and professionally.
Maintain comprehensive records of all client invoices including supporting documentation, payment receipts, and correspondence. Generate regular reports on invoicing status, collection efficiency, and outstanding receivables for management review.
4. Vendor Invoicing Management and Tracking
Maintain systematic tracking of vendor invoices from receipt through payment including approval workflows, processing timelines, and payment dates. Coordinate with projects team and finance teams to ensure timely vendor payments while maintaining proper documentation and approval chains.
Monitor vendor payment schedules, track aging of payables, and ensure compliance with payment terms to maintain positive vendor relationships. Generate reports on vendor spending patterns, payment timeliness, and outstanding liabilities for financial planning purposes.
5. Financial Reconciliation and Reporting
Conduct regular reconciliation between client invoicing and vendor invoicing to ensure margin accuracy and identify any financial discrepancies. Prepare comprehensive financial reports tracking revenue from clients against costs paid to vendors, highlighting variances and trends.
Maintain detailed records of both receivables and payables with supporting documentation readily accessible for audits or management review. Collaborate with finance team on month-end and quarter-end closing activities related to invoice processing and outstanding balances.
6. Relationship Management
Serve as primary point of contact for vendor communications regarding invoicing, payment status, and performance feedback. Build and maintain professional relationships with vendors ensuring clear communication channels and prompt issue resolution.
Coordinate with internal stakeholders including operations, procurement, finance, and project management teams to ensure alignment on vendor performance expectations and invoicing requirements. Facilitate regular vendor review meetings to discuss performance, address concerns, and identify improvement opportunities.
7. Process Improvement and Compliance
Continuously evaluate and recommend improvements to vendor management and invoicing processes to enhance efficiency, accuracy, and compliance. Develop and maintain standard operating procedures for vendor empanelment, invoice processing, and payment tracking.
Ensure all vendor management and invoicing activities comply with organizational policies, procurement regulations, and financial controls. Support internal and external audits by providing accurate documentation and addressing audit findings promptly.
