Consultant- Project Coordinator
Key Responsibilities include:
Project Planning & Coordination:
- Assist Project Managers in developing detailed project plans, including timelines, milestones, project scope, resource allocation, and budget.
- Support the Project Managers in preparing for, facilitating, and following up from project meetings
- Assist in identifying and managing project risks, issues, and dependencies, and consistently capturing project lessons learned.
- Assist Project Managers in maintaining project schedules, ensuring timely updates and tracking progress against plan.
- Help manage project resources, including assigning tasks to team members, vendors, and contractors.
- Monitor project health against scope, schedule and budget, and flag delays or over-budget or scope creep immediately.
Documentation and Quality Control:
- Help develop and maintain project documentation, including project charters, project plans, status reports, and other project-related materials.
- Organize and store project documents efficiently such that project documentation is easily accessible for leadership.
- Support the implementation of quality assurance processes.
- Support the Project Managers with the review and assessment of project outcomes against lifecycle outcomes.
- Assist in conducting regular quality inspections and audits to ensure project quality standards are met.
Project Financials:
- Assist Project Managers with maintaining and updating project financials on a weekly basis.
- Monitor and track project financials to ensure accuracy in actuals, forecasted projections, and EAC / ETC.
Deliverables:
- Maintain detailed project plans and schedules.
- Project relevant meeting minutes, and action items.
- Up-to-date project documentation and records
- Risk and issue logs with mitigation strategies.
- Project lifecycle quality evaluation and metrics reports.
Skills/Tools Proficiency:
- Strong organizational and multi-tasking skills.
- Excellent written and verbal communication skills.
- Proficiency in project management software (e.g., MS Project, Jira, Smartsheets, etc.).
- Strong problem-solving skills and attention to detail.
- Ability to work well in a team environment and collaborate with cross-functional teams
- Proficient in Microsoft Office suite (Word, PowerPoint and Excel)
- Experience with tools such as PowerBI, Sharepoint, and Source/ Confluence will be an advantage
- Ability to work under pressure and meet deadlines
- Ability to proactively manage reporting deadlines and prepare draft reports for review at least 2 days prior to deadlines
- Education & Experience:
- Bachelor’s degree in Business Administration, Project Management, or related field.
- Minimum of 2-3 years of experience in a project coordination or similar role.
- PMP or similar certification is a plus but not required.
