Executive Assistant
Main Tasks
- JD: Manage highly dynamic calendars of regional and global executives by assisting in scheduling the meetings, co-ordinating for agenda, calendar updates, rescheduling meetings etc.
- Prioritize, follows up of incoming topics and driving the tasks with stake holders and report the outcome to the Executives, including those of a sensitive or confidential in nature
- Preparation of timely and accurate presentations or reports using MS office applications
- Ability to handle queries in absence of Executives, participate in meetings on behalf of Executives, prepare minutes of meetings and follow-ups
- Travel Assistance includes flight booking, hotel reservations, visa arrangements, flight checkins, travel itineraries / agenda, end to end travel management
- Assists in organizing and coordinating of senior management team meetings, off-sites, necessary arrangements of meetings like booking conference room, checking on IT requirements and other meeting requirements
- Performing other tasks according to the direct supervisor.
- Proactive stake holder management
- Accountable for regular reporting and monitoring of designated tasks/tickets
- Adheres to M+H Values and follows the guidelines of M+H Code.
Your Profile
- Minimum 2-3 years of experience as Executive Assistant or Business Assistant in a multinational organization.
- Hands on experience in working with Management and Senior Executives
- Capable of maintaining discretion and confidentiality in all topics
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to details
- Experienced in Shared Service Centre environment (ticketing tool, SLA KPIs)
- Hands on experience in documentation using MS Office (Outlook, Excel, Powerpoint, Word,..)
- Good Team player, service mindset & customer centric approach, flexibility, good time management, process oriented thinking, stress management
- High standards of communication skills both written and spoken English
- German/ French language skills will be an added advantage
- Willingness to work in shifts (Asian / European time / US Timezone)
