Job Description: HR Shared Services Specialist

Position Summary:

The HR Shared Services Specialist provides comprehensive HR support to employees and managers across the organization, acting as a subject matter expert in specific HR areas. This role is responsible for handling complex HR inquiries and transactions related to employee lifecycle processes, ensuring efficient and accurate service delivery while maintaining compliance with company policies and legal regulations. This role requires strong customer service orientation, excellent communication and problem-solving skills, and the ability to work effectively in a fast-paced, dynamic environment. This role may also involve mentoring junior team members. The role will be part of the HRO shared services team and will be responsible for delivering the tasks as  per client requirements.

Key Responsibilities:

  • Responding to complex employee and manager inquiries regarding HR policies, procedures, benefits, payroll, and other related topics via phone, email, and ticketing system.
  • Processing complex HR transactions, including new hires, terminations, promotions, transfers, and changes in compensation or benefits.
  • Maintaining accurate employee data in the HRIS (Human Resource Information System) and ensuring data integrity.
  • Supporting benefits administration, including complex enrollment issues, appeals, and vendor management.
  • Assisting with onboarding processes for new hires, including program development and facilitation.
  • Generating reports, analyzing HR data, and identifying trends and insights.
  • Leading or participating in HR projects and initiatives, including process improvements.
  • Ensuring compliance with all applicable laws and regulations and staying up to date on changes in legislation.
  • Maintaining confidentiality of sensitive employee information.
  • Continuously improving HR processes and service delivery, identifying opportunities for automation and efficiency.
  • Collaborating with other HR team members and business partners to ensure seamless service delivery.
  • Creating and updating knowledge base articles, FAQs, and training materials.
  • Mentoring and training junior HR Shared Services team members.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 3-6 years of experience in HR Shared Services or a related HR role, with expertise demonstrated in specific HR areas (e.g., benefits, compensation, HRIS).
  • Deep understanding of HR principles, practices, and regulations.
  • Extensive experience with HRIS systems (e.g., Workday, PeopleSoft, ADP) and reporting tools.
